The vacancy is located in Bogotá. The position belongs to the administration area.

Hierarchical dependency

Under the general supervision of the FAO Representative in Colombia and the administrative officer.

Field of specialization

The Receptionist will support the administration team, his general responsibility is to provide attention to internal and external personnel in their information requirements, maintain control in receiving correspondence and/or documents, in addition to providing support in general activities entrusted to the achievement and achievement of organizational objectives, complying with FAO standards.

Tasks and responsibilities

  •  Receive the public, paying attention to cuts; provide the required information and announce it in the corresponding area.
  •  Carry out the personnel registration in the Excel attendance sheet, generating weekly reports.
  •  Receive and record the physical correspondence that arrives at the Representation.
  •  Manage the switch and coordinate the communication of messages to all staff.
  •  Support updating the directory of UN agencies, government entities, NGOs, donors, partners and other liaison and cooperation entities.
  •  Manage communications record in correspondence application, by assigning the corresponding consecutive.
  •  Manage information on meetings, events and activities carried out by the Representation, to supply it when required by visualization at Brookings, also monitor the use of meeting rooms according to the programming of the allocation module.
  •  Provide secretarial support for letters and memoranda addressed to the administration of the building.
  •  Send diplomatic bag in accordance with the requested request, with the prior authorization of the Administrative Officer.
  •  Support the organization of the physical and digital archive as assigned.
  •  Hacer seguimiento diario a la correspondencia saliente de la Representación coordinando su entrega con mensajeros internos y compañías de mensajería.
  •  Hacer la entrega de útiles de oficina a cada uno de los funcionarios según los requerimientos.
  •  Apoyar el registro y descargue del inventario de insumos de cafetería, aseo y papelería de la Representación, cuando le sea solicitado.
  •  Realizar las demás funciones que le sean asignadas de acuerdo con las características del cargo y las necesidades de la Representación.

LOS CANDIDATOS SERÁN EVALUADOS CON ARREGLO A LOS SIGUIENTES CRITERIOS:

Requisitos mínimos

  •  Titulo como técnico en áreas administrativas, secretariado.
  •  Experiencia mínima de tres años en cargos con funciones relacionadas.
  •  Conocimiento práctico del español (nivel C) hablado y escrito.
  •  Colombian nationality or resident in the country with a regular work permit.
