IFC’s Istanbul office is seeking to recruit a highly motivated hiring an Extended-Term Temporary (ETT) – Team Assistant to provide effective and efficient administrative support to the country team. This role will contribute to the effective operation and administrative coordination of the Istanbul office and should be ready to step up to undertake new responsibilities and challenges with enthusiasm.

Duties and Accountabilities:

  •  Work with the highest level of integrity and discretion and ability to deal with sensitive and confidential information.
  •  Provide high quality administrative support to the team:
  •  Manage and support calendar, including scheduling meetings, booking meetings rooms, creating VC connections etc.

  •  Handling visa requests for teams supported.
  •  Support teams in preparing any required documentation including formatting, production of documents, correspondence, power point presentations (charts), excel sheets etc.
  •  Organize and coordinate logistics for the signing and transmission of legal documents.
  •  Take the lead to organize, arrange the logistics and host meetings
  •  Support Senior Staff and other visiting missions, including preparing meeting agendas, following up on briefs, scheduling meetings and coordinating calendar entries.
  •  Handle incoming correspondence, internal and external queries for teams supported.
  •  Draft routine correspondence and proofreading materials using proper grammar, punctuation, and style, following the IFC Templates.
  •  Provide support with all types of administrative requests such as office supplies order, staff directory changes, email distribution lists, visitor’s pass, videoconferences, Webex.
  •  Establish and maintain an effective network of contacts, both inside and outside the unit, to ensure effective cooperation in support of front office needs.
  •  Under the supervision of the Senior Country Officer:
  •  Assist in preparation and logistical planning for various events e.g., conferences, workshops, negotiations etc. Provide support to visiting missions.
  •  Undertake ad hoc duties that may be assigned.
  •  Work closely with other ACS teams for the daily running of the office.
  •  Act as back-up to other ACS colleagues in the office in their absence or during a busy period.

Selection Criteria

  •  Minimum requirement of High School Diploma or any Bachelor’s degree.
  •  Minimum of 2 years of relevant work experience in a large international institution or private sector organization or working experience in an international organization is a plus.
  •  Outstanding time management skills and delivering results under pressure
  •  Consistent follow-through on commitments, instills trust
  •  Proven track record of high-quality work. Excellent organizational and administrative skills and demonstrated experience in the smooth operation of a busy office and related systems, assuming primary responsibility for organizing and coordinating workflow.
  •  Excellent communication in English and Turkish (written and spoken), interpersonal, organizational, administrative, and time management skills.
  •  Proven ability to work effectively in a team-oriented, fast-paced environment, and contribute towards common goals.
  •  High level of motivation, commitment, and reliability.
  •  Strong conflict resolution skills.
  •  Experience in a busy diverse office environment;
  •  Teamwork (Collaboration) and Inclusion: Collaborates with other team members and contributes productively to the team’s work and output, demonstrating respect for different points of view.
