Technical Logistics Assistant – Piedras Negras, Coahuila State ( Nationals Only ) At Norwegian Refugee Council


one. Objective

The Norwegian Refugee Council seeks for the Mexico office an experienced, enthusiastic and highly motivated profile with a solid background in purchasing / contracting, storage and asset management.

2. Main responsibilities

Purchase and Contract Management

  1. Support the management of purchasing and contracting procedures in the Office, according to the authorization table in the North Zone. This includes: receiving purchase requests, supporting the preparation of quotes and analysis of offers, preparing and sending purchase orders, receipt of goods and services, payment requests, among others.
  2. Keep your office provider database unified and updated.
  3. Support in the monitoring and control of leases at NRC offices in Mexico.
  4. Maintain a physical and electronic filing system for all documentation of purchase processes.
  5. Support the NRC team, in everything related to logistical and administrative activities for the proper development of the actions of the field office.

Fleet / Assets / Wineries Management

  1. Management of inventory entries and exits in the warehouse.
  2. Keep the NRC Winery stock report unified and updated in its assigned office.
  3. Keep the asset register unified and updated – Asset Registry.
  4. Keep the inventory of the equipment, furniture and belongings of the office updated, and make necessary arrangements that guarantee their safety.
  5. Support monitoring of NRC fleet management.
  6. Ensure the correct planning and allocation of vehicles to the programs to have an efficient fleet system.

Others

  1. Support the socialization processes of the Logistics Manual, and its annexes, in the field office.
  2. Support in the socialization of SOPs ( Standard Operating Procedures ).
  3. Support the attention of audits in relation to Purchases, Wineries, Asset Management and Fleet.
  4. Support in the preparation of Donor Reports and support the monitoring of KPI’s ( Key Performance Indicators ) in the Logistics processes
  5. Provide programs with information for project budgeting ( for example, the prices of items purchased according to market studies )

3. Professional Competences

  • Professional in economic sciences, business administration, logistics administration, international business, or the like
  • Minimum two years of experience in functions related to the position
  • Work experience as an Assistant in humanitarian aid contexts.
  • Solid knowledge in Supply Management – Supply Chains
  • Winery and warehouse management experience, Fixed Assets
  • Knowledge in Fleet Management
  • Knowledge in merchandise transport management nationally and internationally.
  • Knowledge of MS Office office utility proficiency ( Word, Excel, Power Point, Outlook ) and experience in ERP software management
  • Experience in project coordination or field missions
  • Knowledge of the context and terrain ( especially the North Zone – Coahuila State )
