Purpose for the job:

The Senior Executive Associate post serves as a principal assistant to the Representative, carrying out broad administrative functions, including coordination and guidance to secretarial staff, to ensure the efficient management of the Representative’s Office.

Major Duties and Responsibilities

  •  Serves as principal assistant to the Representative, responsible for day-to-day administrative operations of the Office of the Representative.
  •  Analyses and maintains an overview of the work of the office of the Representative to ensure that timely administrative support is provided. Organizes daily agenda and meetings, participates in meetings and discussions on important and sensitive issues, interprets and assesses the impact of changes. Provides guidance to and coordinates the work of secretarial staff in the Representative’s Office.
  •  Plans and coordinates the Representative’s duty travel, public appearances and meetings with government officials, other partners, and UNICEF staff. Liaises to arrange itineraries of field visits; prepares/collates briefing materials under the guidance of the Executive Officer.
  •  Reviews all incoming correspondence, messages, and documentation. Apprises the Representative of urgent and important issues. Determines routing-for-action to senior staff, follows up on the actions taken and provides information updates regarding subsequent developments and issues.
  •  Responsible for coordination of visits of high-level officials/visitors, ensuring adherence to protocol; manages specific administrative/programmatic requirements and organizes official receptions.
  •  Liaises with Sections/Field Offices and external contacts and supports Executive Officer in following up on pending actions for the Representative. Advises and assists senior staff in office management. Brings to the Representative1s attention sensitivities/issues requiring intervention/action.
  •  Prepares correspondence, special reports, evaluations and justifications that may be of a confidential nature. Maintains documents for easy access/retrieval.
  •  Perform other duties as required.

To qualify as an advocate for every child you will have…

Education:

Completion of secondary education required. University degree in business administration or any other related field desirable.

Experience:

A minimum of 7 years of progressively responsible in the area of administration. Experience in providing support to the Head of an Office, knowledge of protocol will be an added advantage. Relevant experience in an international developmental organization is desirable.

Language Requirements:

Excellent knowledge of English -both written and spoken. Good knowledge of Hindi essential.

  •  The vacancy is open to Indian Nationals only.
  •  Selected applicants will have an initial two (2) year fixed-term contract, with the possibility of extension subject to satisfactory performance.
