Under the guidance and supervision of the Common Premises and Field Support Manager (CPFSU), the Senior Administrative Associate is accountable for the overall data maintenance and reporting of UNICEF premises and vehicles globally as well as the funds allocated to AMS for its Operations. This includes fund allocated for construction, VTS, and others. He/she will also update the premises and vehicles’ data in vision as well as in the Premises Management System (PMS) with relevant needed information.

The incumbent is also responsible for the follow-up and update of global insurances for premises and vehicles as well as tax-exempt support provided to offices.

Summary of key functions/accountabilities:

Under the direct Supervision of the CPFSU Manager, the Sr. Admin Associate will have the following duties and responsibilities:

  •  Supports the real time premises and vehicles data management, continuously follow up and update data whenever a change occurs.
  •  Supports and keep records of premises and facilities like accessibility and staff welfare facilities, including vehicles leasing.
  •  Compiles and prepare data on premises and vehicles categorized as needed and share with staff and Management to help further review analysis, planning, and decision making. This also includes data on insurance.
  •  Assists CPFSU in general administrative matters including but not limited to new staff onboarding, arranging meetings, and compiling data and documents.
  •  Keeps record of approved funding support to COs for Vehicles Tracking System (VTS), premises construction and renovation works and advises regularly on the utilization.
  •  Compiles the annual work plan and budget of the Unit in collaboration with the Admin Specialists and controls over the implementation.
  •  Serves as back up in case of the absence of the Administrative Specialists and Assistants.
  •  Performs other related duties required by the Supervisor.

To qualify as an advocate for every child you will have…

  •  Completion of High School secondary education (12th grade) is required, supplemented with first university degree (Bachelor’s) in finance and accounting or Business Administration.
  •  A minimum of seven (7) years of relevant experience in progressively responsible administrative support services.
  •  Certificate in Report Writing with hands on experience is required.
  •  Certificate as a user of Microsoft is highly desirable.
  •  Previous hands-on work experience in data management and analysis works is highly desirable.
  •  Previous experience in budget preparation and control functions is highly desirable.
  •  Developing country work experience and/or familiarity with emergency is considered an asset.
  •  Non-US candidates must be in possession of a United States G4 visa or be a United States Permanent Resident/Citizen.
  •  Fluency in English is required. Knowledge of another official UN language (Arabic, Chinese, French, Russian or Spanish) is considered an asset.

Remarks:

UNICEF appointments are subject to medical clearance. Issuance of a visa by the host country of the duty station, which will be facilitated by UNICEF, is required for IP positions. Appointments are also subject to inoculation (vaccination) requirements, including against SARS-CoV-2 (Covid). Government employees that are considered for employment with UNICEF are normally required to resign from their government before taking up an assignment with UNICEF. UNICEF reserves the right to withdraw an offer of appointment, without compensation, if a visa or medical clearance is not obtained, or necessary inoculation requirements are not met, within a reasonable period for any reason.

The Administrative Management Section of the Division of Financial and Administrative Management provides guidance and advice to country offices which requires quality data to support informed Management decisions. The incumbent in this role will ensure that this objective is met, and that accurate and meaningful data related to premises, vehicles and insurance is available in a timely manner.
