Job Purpose

The objective of this position is to lead the quality implementation of key programs in Violet as part of the program management and to support in maintaining Violet’s relationship with partners and donors, when needed.

Key Responsibilities

    Project related
    • Developing the project design in line with the organization’s mission, vision, and strategy
    • Producing high-quality narrative proposals and leading project development. Documentation, including budget, work plan, log frame…etc.
    • Led project managers/program officers in developing job descriptions, supervising their responsibilities to provide technical and managerial support.
    • Follow up on the project implementation under his/her sector.
    • Ensure timely and accurate reporting and review project reports before being submitted to the donor in time.
    • Ensuring the mainstreaming of crosscutting issues in all projects
    • Monitoring projects budget and ensuring the well expenses are in line with the budget.
    • Reviewing the technical booklets of condition for the sector’s procurement and follow up the procurement with logistics.
    • Follow up on recruitment with the HR department and participate in interviews with new applicants in Turkey.
    • Ensure program quality by actively collaborating with the MEAL team in Turkey to identify shortcomings, utilize the reports received, contribute to need assessments address observations received, and ensure active coordination between project staff and MEAL.

Donor management

  • Support Violet in identifying potential donors and funding opportunities for sector projects.
  • Follow up on any requirements related to his/her sector. The donor may request.
  • Ensure compliance with the donor requirements in quality and financial matters.

Coordination and Communication

  • Hold regular program meetings.
  • Ensuring the sector teams are well staffed.
  • Ensure good coordination between the program, MEAL, and supporting teams such as media, finance, procurement

External coordination

Ensure Violet’s active participation and contribution in the coordination meetings (WGs/sector cluster meeting, regular meetings with donors, or in partnership-related groups, where necessary)

Accountability and safeguarding:

  • Monitor the complaints and feedback received under the sector in coordination with the project staff
  • Identify lessons learnt from the complaints and feedback received and apply to the sector, where possible
  • Collaborate with the safeguarding focal point to ensure all child safeguarding and PSEA measures are applied and followed in the whole sector.

Training:

Provide training and support to staff members on financial procedures and policies, promoting a culture of financial responsibility and transparency.

Deputy Programs Manager for Partnerships

The candidate will be the deputy HoP for partnership; in this role, he/she will play a vital role in supporting Violet’s mission to address the urgent needs of affected communities in Syria. This position will link Violet’s diverse programs and partners, following up on new opportunities, existing grants and projects, and the strategic development of the organization. The candidate will work closely with the head of programs and program managers.

Partnership Development:

Co-lead on Violet’s partnerships, from starting new partnerships with international and national organizations and donors to maintaining and improving existing partnerships within Violet’s portfolio.

  • Identify and engage with potential partners, including international NGOs, donors, local organizations, government agencies, and other relevant stakeholders.
  • Cultivate and maintain relationships with existing partners to maximize collaboration and ensure the smooth functioning of programs.
  • Collaborate with internal teams to assess partnership opportunities and align them with organizational objectives.Proposal Writing:
    • Collaborate with program teams to develop high-quality project proposals that align with donor requirements and organizational priorities.
    • Conduct research, gather relevant data, and provide input on proposal content, budgets, and work plans.
    • Ensure proposals are submitted within the given deadlines, adhering to all necessary guidelines and formatting requirements.
    Partnership Maintenance:
    • Monitor and track the progress of ongoing partnerships, ensuring adherence to partnership agreements and commitments.
    • Coordinate meetings, workshops, and events with partners to facilitate information sharing, collaboration, and joint planning.
    • Identify areas for improvement in existing partnerships and implement strategies to enhance their effectiveness and to respond to partners’ feedback.

Grant Support:

  • Review and promote understanding of, and adherence to, standardized grants planning, monitoring structures, and partnerships management across Violet’s departments in coordination with Grants, programs, and MEAL.
  • Assist in the management and coordination of grants from various donors with regards to timely and quality implementation.
  • Coordinate with program teams to gather information and data necessary for grant reporting and ensure timely submission.

Deputy Head of Programs:

  • Provide support to the Head of Programs by assisting in managing partnership aspects, monitoring progress, and ensuring timely responses.
  • Collaborate with the Head of Programs to develop and implement partnership strategies, ensuring alignment with organizational goals and objectives.
  • Contribute to partnership planning and decision-making processes, providing strategic insights and recommendations.

Respect and apply all the PSEA and child protection principles, and show high commitment to report any PSEA & CP action.….

Commitment to implementing the child safeguarding and PSEA policy by considering them when planning and designing activities as well as when receiving complaints or observing issues related to this matter and fulfill their obligation to report it directly via the assigned channels or directly to senior management. Raising awareness to their assigned staff of the child safeguarding and PSEA policy plus reporting mechanisms and how to deal with it.

Qualification (Education/Work Experience)

Essential

  • University degree in Food or Agriculture engineering, project management, Business Administration, or related field.
  • At least 3 – 5 years of experience in Food security & Livelihood related field and/or cash-based assistance programs
  • Excellent working with Microsoft Office – mainly Word, excel, and PowerPoint with the ability to use a computer, internet programs, and E mail
  • Languages: Arabic is essential, and one must be fluent in English (writing, reading, speaking, and listening).
  • Experience in remote management.
