Administrative assistant At Doctors of the World


Doctors of the World Civil Association ( hereinafter MdM ) is implementing various activities to help strengthen local health institutions and organizations that serve populations in a condition of greater vulnerability in Venezuela.

The focus of our activities in Venezuela

MDM has been addressing humanitarian needs in Venezuela since 2019. The organization focuses on an integrated approach to health, nutrition, and protection of mental and psychosocial health ( MHPSS ). MDM coordinates its programs within the humanitarian cluster system and works collaboratively with national and international NGOs. The projects are implemented in highly populated vulnerable urban areas, as well as in rural and indigenous communities with difficult access. The organization is growing and expanding its base of donors, intervention sectors and implementation areas, with the aim of improving the quality of its programming.

General objective

Under the responsibility of the Country Administration in Caracas, the administrative assistant ensures that administrative operations, accountants and HR are developed in accordance with the internal procedures of Doctors of the World ( hereinafter MdM ).

Tasks and responsibilities:

  • Review and control of the expenses of each project, in coordination with the country administration.
  • Support in the ordering and scanning of both physical and electronic monthly accounting of projects in progress, verifying that the cost supports comply with donor conditions and international standards and that their file is properly preserved.
  • Guarantee the correct imputation of costs to projects, in accordance with the procedures of the organization and donors.
  • Review and complete the registration and filing of documents related to the acquisition ( purchases ) of equipment, goods and / or services within the framework of the projects.
  • Support in the preparation and timely presentation of the final financial reports of the implemented projects.
  • Carry all procedures in accordance with tax and tax return laws.
  • Technical support for the preparation of internal and external audits, with special attention to meeting the established deadlines.

The tasks and responsibilities defined in this job description are not exhaustive and can evolve depending on the needs of the project.

Training

  • Bachelor of Business Administration, Accounting or Related Careers, Graduate of a Recognized Institution ( Accredited )

Professional experience

  • Humanitarian / Technical
  • Minimum 1 year of relevant previous experience related to the position in an NGO.

Software

Good knowledge of MS office software – Including Word, Excel and Outlook.
