Hours per week: 16 – 32 hours between Mon and Thu (candidates should state their preferred number of hours during the recruitment process)

Salary Range*: $27,200 – $36,800 USD (or local currency equivalent) for full-time (32 hours per week), pro rata for part-time

About Equal Measures 2030 (EM2030):

EM2030 is a collaboration of national, regional, and global leaders from feminist networks, civil society, international development and the private sector. We connect data and evidence with advocacy and action on gender equality, to transform the lives of women and girls and realize the Sustainable Development Goals (SDGs).

It is more than 25 years since 189 countries committed to the Beijing Platform for Action by advancing women’s rights. And we have less than 10 years until the 2030 deadline for achieving the SDGs and their promise of gender equality. But Equal Measures 2030’s SDG Gender Index shows that not a single country has yet achieved gender equality.

Our Strategic Plan 2020-2025 is founded on the belief that data can expose gender inequality and injustice, motivate change, and drive accountability. About this role:

Equal Measures 2030 seeks the support of an Administrative Assistant to support the internal coordination and administrative operations of the EM2030 Secretariat. This role will be integral to helping us achieve our objectives through financial, administrative, and IT support. This temporary opportunity has been created to provide cover during upcoming periods of absence for other EM2030 team members.

The role will be varied and involve a wide range of tasks. These include administrative support across the EM2030 team including coordinating calendars and meetings, sharing information and reminders internally, organizing SharePoint files, arranging shipping of equipment and supplies, and some event and travel support. It also includes basic finance support, including compiling budget information, manipulating spreadsheets (including pivot tables), and keeping track of invoices and payments. A key part of the role will involve liaising with our IT support company and providing direct support to team members to help them use key EM2030 software tools (including Microsoft Outlook, SharePoint, Monday.com, etc.) more effectively. If you are adept at learning how to use different software tools, to understand how EM2030 uses those tools, to identify ways to improve our use of software, and keen to support others remotely to share learning about effective use of software, this could be the right role for you. As a remote team, software tools play a big part in how effectively we are able to work and collaborate together.

The Admin, Finance & IT Assistant will be someone who values collaboration, flexibility, and nimbleness. What you’ll do:

Reporting to the Head of Finance & Operations, and working closely with the Finance & Operations Coordinator this role will involve the following:

  • Supporting the Head of Finance and Operations in the tracking and processing of EM2030 spending, including through updating financial tracking spreadsheets and the documentation and submission of invoices and following up to ensure payments are completed
  • Maintaining knowledge management systems (including SharePoint filing systems) and joint calendar for the team to ensure good cross-team sharing and planning
  • Supporting the team and increasing team members’ comfort and capacity to use all remote software applications (including Microsoft Outlook, SharePoint, Teams, Monday.com, Zoom, etc.)
  • Liaising with EM2030’s IT support company
  • Distributing Monthly credit card statements to staff and following up to ensure card reconciliations are submitted in a timely fashion
  • Working with Panorama in amendment of vendor contracts and follow up of banking details for payments
  • Coordinating with new employees and suppliers to ensure laptops are procured and set up in a timely manner.
  • Proactively identifying Admin, Finance and IT process improvements to maximise the impact of EM2030’s work
  • Any other duties as may be assigned by the Head of Finance & Operations, Finance & Operations Coordinator, Executive Director, or other EM2030 team members

Knowledge, skills, and/or experience you’ll need:

Essential:

  • Degree in business administration, finance, accounting or equivalent;
  • Strong administrative skills, including experience working with finance systems and invoices (i.e., SAGE)
  • Familiarity with knowledge management systems including SharePoint, supplementary Microsoft Office programs such as Outlook, Teams, Zoom, etc., and other software tools used by the EM2030 team (including Monday.com)
  • Strong oral and written communication skills in English
  • Proactive approach, including when working remotely
  • Strong problem-solving skills
  • Able to self-manage multiple demands, meet deadlines and plan effectively
  • Good people skills, able to work in a collaborative and supportive way with a global team.

Desirable:

  • Fluency in French and/or Spanish would be an asset
