About MUZUN:

Muzun for Humanitarian & Development (MHD) is a civil society and Non-profit organization registered in Turkey, Gaziantep since 2015.

MUZUN was founded by professional humanitarian workers engaged in the Syria response. We come from the communities affected by the conflict. We have set up this organization in order to support fellow Syrians with relief and non-relief assistance to maintain their under-pressured resilience and help them cope with the challenging conflict environment. In our work we focus on the most vulnerable including persons with special needs, children and women. As a grassroots organization, our work is community-led and therefore owned and sustainable. We have presence across Syria. MHD operates in Syria’s Northwest.

MISSION: Providing humanitarian and developmental services and assistance to the most vulnerable communities of displaced people and residents inside Syria and neighboring countries, men, women, and children to reach a Syrian civil society capable of facing the circumstances and involving them in the decision-making process and influence in its.

About the Position:

The project manager will work under the supervision of the program manager and work with the other focal point to initiate, manage, and improve daily activities within MHD’s project. She/He will coordinate internal and external resources to ensure that projects adhere to scope, schedule, and budget. She/He will develop standard implementation procedures, ensure better coordination between the support program and field staff to complete tasks on time, and achieve or surpass the set indicators.

The role involves strategic planning, team management, and effective collaboration with internal and external stakeholders to optimize resources, maintain high-quality standards, and uphold the organization’s commitment to providing assistance to communities in need.

Duties and responsibilities:

  • Directly manage the transportation and warehousing project, including strategic planning and execution, aligning with humanitarian objectives and optimizing resource utilization.
  • Preparing weekly and monthly plans for project activities and ensuring their implementation with high quality.
  • Oversee and manage a diverse team of 54 employees including warehouse keepers and guards, ensuring effective coordination, training, and adherence to safety protocols in the transportation and warehousing processes.
  • Manage project staff including day-to-day operations, work plan and training development, regular appraisals, and performance reviews.
  • Organize frequent meetings with the staff to ensure regular sharing of information regarding the project’s performance.
  • Ensure the capacity building and coaching of project staff and provide required technical supervision.
  • Maintain regular communication with donors, providing updates, reports, and information on transportation and warehousing activities, fostering strong relationships, and ensuring transparency regarding project progress and impact.
  • Strategize and implement measures to optimize resources, minimize operational costs, and enhance the efficiency of transportation and warehousing processes while maintaining the quality and integrity of aid delivery.
  • Developing needs assessments for beneficiaries, ensuring support specifications meet needs, drafting activity sheets, tracking budgets and deliverables to support program strategy.
  • Provide regular and timely updates on progress and challenges to supervisors and other team members.
  • Ensuring the inclusion of persons with disabilities (PWDs) in all aspects of project implementation, including monitoring and evaluation and reporting.
  • Providing draft project proposals upon request.

Finance, Logistics and HR:

  • Ensure project expenses comply with MHD standards and budget, and forecast the monthly cash requirements of the project and submit them to the programs and finance managers.
  • Hold monthly meetings with the Programs and Finance Manager to review the budget versus actual spending. In case of major underspending or overspending, suggest corrective actions.
  • Working closely with the project’s procurement team to ensure procurement is completed on time and to specification.
  • Preparing purchase requests with the BOQs according to MHD organization logistic policies in a timely manner.
  • Assist with quality checks and procurement committees to finalize the selection of suppliers based on relevant scenarios.
  • Confirm the quality of material selection, if applicable.
  • Participate in project staff recruitment, including developing and reviewing tests, conducting interviews, and elaborating on Terms of Reference (ToRs).

Coordination:

  • Organizing regular meetings with the beneficiaries and donors to facilitate program development and relationship-building opportunities.
  • Working closely with the Monitoring and Evaluation and Reporting Manager to ensure M&E and reporting inputs for reporting deliverables are provided by field staff in a timely manner.
  • Develop and maintain regular and transparent supportive communication structures.
  • Provide clear guidance to the media department to ensure full compliance with communication and visibility procedures of the donors.
  • Maintaining regular communication with team members, supervisors and project manager via written and e-mail.

Required Qualifications:

  • Degree: Civil and agriculture engineer, and any other related field.
  • Experience (1-3 years) with I/NGOs in terms of humanitarian response and other interventions.
  • CCCM/Wash/NFI/Shelter/FSL/ERL with a minimum of two years of experience.
  • Required: English language, upper intermediate; Arabic is a must.
  • Experience working in dynamic, insecure environments and with local communities.
  • Ability function at a high capacity within a collaborative organizational structure.
  • Understanding of the political and cultural context in Syria.
