The Organization

The Jesuit Refugee Service (JRS) is an International Catholic NGO (HQ) based in Rome. Our mission is to accompany, serve, and advocate on behalf of refugees and other forcibly displaced persons, JRS has been operating in Jordan since 2008.

In Jordan-Amman, JRS runs projects and activities that favor social inclusion, intercultural dialogue, community-building, psycho-social well-being, peacebuilding, empowerment, and self-reliance. JRS strives to create spaces where everyone feels included, accepted, and respected.

General Purpose of the Position

The Project Coordinator is responsible for leading the development and implementation of JRS projects and ensuring the smooth operation of activities. S/he is also responsible of ensuring that technical relevant inputs and support are provided to field staff, government partners, local NGOs, and other stakeholders that are working for the project to ensure integration of project initiatives in the assigned area.

Works directly with: Country Director, Regional Programmes Officer, and project team.

Other reporting and coordination responsibilities: coordinates with external partners such as INGOs and local NGOs.

Main Responsibilities of the Position

Project Management

  1. Is responsible for the planning, daily management, and implementation of the project.
  2. Maintains responsibility for file management, dissemination of programmatic and team information, and contributes to JRS knowledge, programs, tools, and approaches.
  3. Coordinates with the project team and the Country MEAL and Reporting Officer for periodical reports production.
  4. Supports the Country MEAL and Reporting Officer in proposals writing and gives project-related inputs to the Finance Officer in the budget writing.
  5. Coordinates with the other programme/project staff to ensure the synchronized delivery of outputs according to plan in the area(s) of assignment.
  6. Facilitates the planning sessions, capacity building, and field-based advocacy activities.
  7. Leads on the periodic monitoring of the budget and the actual expenses.
  8. Ensures that the project utilizes MEAL findings/results in enhancing/modifying project implementation.
  9. Helps set the direction forward and provides input on the needs, project design, activities, and the evolvement of the project as a result of that.
  10. Is in charge of keeping contact with the community members and builds a relation of trust with beneficiaries.
  11. Strengthens the project staff capacity in program implementation through technical guidance.

Networking, Partnering, and Advocacy

  1. Supports the Country Director in establishing and maintaining active working relationships with local partners, local government units and other NGOs specific to concerned thematic areas.
  2. Provides feedback to the Country Director and the Regional Programmes Officer regarding prospective partners and donors and opportunities for resource mobilization.
  3. Attends the relevant national sectors/clusters meetings.

Communication and Event Management Support

  1. In collaboration with the Communication Manager and the Logistics Officer, plans, organizes, oversees, and manages public and JRS community events and activities that might include (but are not limited to): bazaars, photo exhibitions, conferences, focus group discussions, open days, intercultural meetings and dialogue, movie screenings, presentations, awareness raising sessions, festivals, community consultations.

Administrative Support

  1. Provides administrative coordination support to assigned project phases from documentation, updates, and overseeing the progress.
  2. Develops and maintains project pending lists and meeting agendas.
  3. Schedules, connects, attends, and documents regular and ad hoc project team meetings, in addition to Core Team and external meetings when delegated by the Country Director.
  4. In collaboration with the Country Director, ensures open, ongoing communication flow between project staff, core team, and country office, consultants, and/or partner organizations.
  5. Knows and understands well JRS policies and implements them at the project level.
  6. Coordinates with the project implementation staff.
  7. Develops criteria for inclusion of participants and maintains the transparency of the selection.
  8. Recommends opening/closing of activities based on objective criteria and activity plan.
  9. Supervises the process for intake and evaluation of participants.
  • Available for any other duties and activities as requested by the Country Director that are within the ambit of the position.

Qualifications, Skills and Personal Attributes

  • Bachelor’s Degree in Social Sciences, Management, Education, International Development or any other related field.
  • Minimum of four years of work experience in a relevant work setting.
  • Experience in project planning, reporting, and budgeting.
  • Experience in office and events management.
  • Experience of and commitment to working through systems of community participation and accountability.
  • Experience in training and capacity building of peers.
  • Knowledge of the local context for what concerns refugees-related issues (especially non-Syrians) and organizations working in the same field. Proven competence to assess priorities and manage a variety of activities in a time-sensitive environment and meet deadlines with attention to detail and quality.
  • Ability to work independently and collaboratively as an effective team member in a complex and fast-paced environment.
  • Advanced organizational, planning, assessment, and analytical skills.
  • Ability to balance multiple responsibilities professionally, quickly, and calmly.
  • Demonstrated ability to interact professionally with culturally diverse staff, beneficiaries, and external partners.
  • Establishes, builds, and maintains effective working relationships with project staff to facilitate knowledge management and learning.
  • Ability to manage competing priorities and multiple tasks and deliver on time.
  • Ability to work under pressure and within strict timelines.
  • A combination of standard office environment and ‘field’ time in and around the service delivery area to perform the above outlined responsibilities.
  • Proficiency in Microsoft Office package use, particularly Word and Excel.
  • Strong proficiency in both written and spoken English and Arabic.

CONTRACT DURATION: Until the end of December 2024 with the possibility of renewal based on the performance evaluation and the availability of funds.
