Task Description: The IFC HR Strategy and Organizational Effectiveness unit is seeking a highly motivated Assistant to provide efficient administrative support. Reporting to the Principal HR Officer – Strategy and Organizational Effectiveness, the Assistant will undertake the following responsibilities: Duties and Accountabilities

  •  Provide comprehensive logistical and administrative support for unit activities, including organizing meetings, events, and workshops, ensuring smooth logistical assistance for business-related endeavors.
  •  Coordinate schedules, prioritize tasks, and communicate updates and pertinent information to both internal and external stakeholders.
  •  Identify and resolve diverse issues, often requiring interpretation of existing procedures and processes, and independently determining the suitable course of action.
  •  Handle sensitive and confidential matters, making informed decisions when faced with multiple alternatives.
  •  Draft necessary correspondence as required.
  •  Attend meetings, provide updates, and actively participate in program activities as necessary.
  •  Serve as a reliable back-up during colleagues’ absences or busy periods.
  •  Undertake ad hoc duties as assigned by the Principal HR Officer or Program Leads.

Selection Criteria

  •  Bachelor’s degree with a minimum of 3 – 5 years’ relevant work experience.
  •  Proficiency in office productivity tools, including MS Office, Excel, PowerPoint, Word, Outlook.
  •  High degree of judgment and tact in managing, processing, and communicating sensitive and confidential matters.
  •  Motivation, initiative, flexibility, and reliability.
  •  Outstanding interpersonal skills to interact effectively with a diverse range of internal and external contacts, demonstrating good judgment, tact, and diplomacy.
  •  Proven ability to contribute effectively in a team-oriented, multi-cultural environment and function as an active team member across various groups.
  •  Strong written and verbal communication skills in English, enabling the preparation of draft communications and ensuring the quality of written outputs.
  •  Demonstrated ability to produce high-quality work under pressure.
  •  Track record of strong organizational, administrative, and time management skills.
  •  Ability to multitask and efficiently prioritize workloads, displaying initiative and resourcefulness even with minimal supervision. Promptly respond to information requests and align with team priorities.
  •  Willingness to learn, pick up new skills as required, and adapt.
