Oral Litigation Program Assistant

This position is scheduled to start in March 2024 for the “ Litigation and Mediation Initiative for Law students in Mexico ” program that aims to improve the capacity of Mexican students of law to operate the Mexican accusatory criminal justice system upon graduation, through a greater capacity of the Mexican law schools to train students in oral litigation and alternative dispute resolution mechanisms, improving teaching techniques for the accusatory system and seeking opportunities for insertion as public servants in the criminal justice system.

Background

ABA ROLI is an international non-profit organization that implements legal reform and rule of law programs in more than 40 countries around the world. ABA ROLI has nearly 400 professional employees working abroad and at its Washington DC office. ABA ROLI host country partners include judges, attorneys, bar associations, law schools, court administrators, legislatures, ministries of justice and a wide range of civil society organizations, including human rights groups.

Description of the position of Oral Litigation Program Assistant

The Oral Litigation Program Assistant will provide administrative, logistical and programmatic support to the ABA ROLI Oral Litigation Program Officer at the local Mexico office.

Under the supervision and support of the Oral Litigation Program Officer, the Program Assistant will be responsible for coordinating administrative support, logistical and programmatic to carry out all the activities of the Oral Litigation component in Mexico.

You will need to take on additional responsibilities if necessary.

  • Supports the Oral Litigation Program Officer in the programmatic supervision of the training workshops of the Oral Litigation component
  • Participates in the development and implementation of activities related to mentoring of Oral Litigation competitions
  • Supports the Litigation Program Officer in preparing reports to inform partners and donors regarding the program, objectives and activities.
  • Organizes logistics and supports administrative assistance to carry out programmatic activities and daily operations of the Oral Litigation component.
  • Maintains and updates the calendar of activities of the Oral Litigation component.
  • Routine administration of matters related to program implementation; preparation and follow-up to calls for program activities, confirmation of participants and attendance lists, preparation of work and teaching materials for courses and competitions; work meetings via Zoom and Teams; control and administration of component documents on platforms such as Sharepoint and Drive; reservations and travel logistics if necessary
  • Supports the design, preparation and technical reporting of the Oral Litigation component
  • Participates in the preparation of cost projections for the activities of the Oral Litigation component
  • Participates in the planning, monitoring and execution of consultant and supplier contracts; as well as coordinating with the finance area the necessary adjustments or changes thereof.
  • Supports the preparation of travel expense reports and everything related to the project; and in general, follow the instructions of the finance department to execute expenses in accordance with the internal policies of ABA ROLI
  • Obtains and coordinates the request and receipt of quotes from consultants and suppliers for the implementation of the activities of the Oral Litigation component
  • Participates in the development, updating and management of virtual platforms, social networks and virtual classrooms of ABA ROLI Mexico
  • Participates as a member of the Acquisitions Committee of goods and services of ABA ROLI Mexico
  • Provides additional support as needed and required by ABA ROLI Mexico

Basic Qualifications

  • University Title
  • Intermediate level computer skills with Office parcels, virtual platforms such as ZOOM and Teams, CANVAS.
  • Intermediate knowledge of the English language (oral and written)
  • Professional fluency in Spanish (oral and written)
  • Strong interpersonal group management skills
  • Strong administrative skills for coordination and activity management

Preferred Qualifications

  • University degree in Law or Social Sciences and Humanities
  • Previous experience as a participant in activities of the Oral Litigation or Oral Litigation Competences component of ABA ROLI Mexico
  • Work experience in a professional environment with people from diverse cultural backgrounds
  • Experience in advanced use of Office parcels, virtual platforms such as Zoom, Teams, Sharepoint and virtual classrooms
  • Experience in dealing with suppliers
  • Previous experience in administrative tasks
  • Management of virtual platforms (social networks and virtual classrooms)
  • Intermediate fluency in English (oral and written)
  • Ability to work under pressure within agreed deadlines and adaptation to change.
  • Ability to handle confidential and sensitive data and information
  • High level of personal responsibility and proactive approach to tasks
  • Experience in assisting in programmatic projects
  • Experience in meeting indicators
  • Experience in collaboration with international projects
  • Experience in contact with a variety of civil society organizations and private sector actors.
