WHO ARE WE ?

Médecins du Monde Belgique (MdM-BE) is an international medical development NGO that is part of an international network. We provide medical assistance to vulnerable groups, in Belgium and the rest of the world. We want universal health coverage where everyone has access to care, without obstacles (financial, cultural, geographical, etc.).
Our projects are aimed at all people who have no or no longer access to health care. In particular, they are structured into five axes: people on the margins of society; children in vulnerable situations; the women ; migrants or displaced people and victims of crises or conflicts.

THE ESSENTIAL

The general services department is made up of the Finance department as well as Logistics. In this context, logistics has the role of supporting the implementation of our activities and ensuring accountability and transparency of the means put in place.

The mission of the Logistics Officer function is to support the implementation of logistics processes and tools in projects carried out internationally in order to contribute to the achievement of good logistics management within the organization while respecting internal requirements and those of donors.

The function is under the hierarchical responsibility of the International Logistics referent and may be required to supervise a group of collaborators (interns, volunteers).

TASKS AND RESPONSIBILITIES

As a logistics officer for international missions, you are in charge

  • Information management including management of the logistics information platform (Sharepoint).
    • update of the operational logistics Sharepoint, country sites, etc. and proposals for improvements.
    • Ensure the updating and availability of the logistics kit once the files have been updated.
  • Verification of compliance with our administrative procedures via monthly feedback
    • Monthly random verification of purchasing files as well as prices, you control the application of internal procedures;
    • Report to n+1 any suspicion of fraud or failure to report monthly DAs;
    • Make the necessary signature requests for head office validations
    • Check, prepare and monitor the payment of/invoices for medical orders with the finance department at headquarters, you are the contact person at headquarters for all international payment questions.
    • Support cologs in the development of complex purchasing files (e.g. medicines, etc.); support for the definition of criteria, TCO analysis, development of CSC, etc.)
    • Follow up with cologs or assistants to ensure documentation is provided on time.
    • Conduct market studies, documentary research or standards studies on technical subjects related to purchasing files
    • Monitoring the annual closing, relaunching cologs to ensure on-time feedback
    • You are the focal point for mission logistics audits and in this context, you are required to carry out internal audits in the field
  • Improving our logistics procedures and processes and you participate and/or lead the development of training modules, in collaboration with the referent and the logistics department.
    • Propose improvements to existing procedures, tools, guides and manuals, flowcharts, you write them and submit them for approval
    • Implement KPIs as well as define systems for monitoring.
    • Support the training of logisticians on our logistics processes, in this context, you develop dynamic and interactive training materials.
  • You are the focal point of international logistics in the absence of the referent . You follow the logistics of international missions with a total annual budget of less than 750,000 EUR.
    • In this context, you participate in country team meetings.
    • Organize regular meetings with the logistical contacts of these missions.
    • Provide logistical briefings for new coordinators as well as new members of the country teams according to the defined table.

As a member of the logistics department , you:

  • Participate in logistics department meetings as well as meetings of the General Services Department and the International Operations Department, depending on the topics identified.
  • Contribute to the organization of back-ups for logistics members.
  • Participate in the continuous improvement of the department.

The list of tasks given above is non-exhaustive and will be adapted according to needs.

These responsibilities will be implemented in a specific and transversal manner on the basis of the annual individual action plan, established in collaboration between the manager and the holder of the position in question.

YOUR PROFILE

FORMATION / EXPERIENCE

  • Bachelor in Logistics or equivalent experience.
  • 2 years log experience in the field.

COMPETENCES

  • Mastery of the Office package, very good knowledge of Excel (complex formulas, pivot tables), knowledge of PowerApps a +.
  • Mastery of French, good knowledge of English, Dutch a real plus.
  • Rigor, organization, assertiveness, analytical capacity.
  • Support service-oriented communication.

WE OFFER

  • An enriching and essential function at the heart of Médecins du Monde Belgium’s projects.
  • full-time, indefinite contract (5 days a week – 39 hours).
  • A gross salary of €2,883.09 for 2 years of experience; a gross salary of €2,967.88 for 5 years of experience; a gross salary of €3,109.21 for 10 years of experience. Recognized relevant experience.
  • Restaurant vouchers (€8 including €1.09 per employee and €6.91 per employer) – Hospitalization insurance – 100% reimbursement of public transport costs.
  • Leave : 20 legal days + 6 RTT days + 4 extra legal days between Christmas and New Year.
  • Teleworking possibility up to 2 days/week, with a bonus of €14/day for the whole month.
  • Place of work: Brussels.
  • Starting position: 07/15/2024.
