This role is a temporary backstop for 6 months due to maternity leave. Candidates interested in a temporary short term contract are encouraged to apply.

How can you make a difference?

Under the supervision of the Human Resources Manager and in a HR team of four, the Human Resources Associate, TA will provides administrative, procedural and operational support to the efficient implementation of a broad range of Human Resources functions for all categories of staff and non-staff in the Pacific office, ensuring accurate and timely delivery that is in compliance with UNICEF HR rules and regulations for a period of 6 months.

The HR Associate will perform support and specialized transactional HR activities pertaining to recruitment and placement, administration of entitlements, staff development and career development, job classification and/or performance management. The successful candidate will require in-depth knowledge of the subject matter and the capacity to carry out tasks with strong independence.

Key functions/accountabilities are as follows:

Support recruitment and contracting:

  •  Review job descriptions and terms of reference, draft and circulate advertisements, assessment reports, draft and review contracts
  •  Review candidates’ profiles and liaise with candidates in the various stages of the recruitment process.
  •  Follow and track recruitment processes.

Support processing of entitlements and benefits:

  •  Maintain staff information.
  •  Process a wide range of personnel actions in accordance with UNICEF rules and regulations.
  •  Facilitate and monitor administrative actions and communication in relation to onboarding and offboarding of employees.

Support organization design and job classification:

  •  Review and process job descriptions for due approval, create or modify jobs in the system.
  •  Maintain documents pertaining to organizational design.

Support learning & capacity development:

  •  Support the Staff Development Committee in preparing, analyzing and maintaining data pertaining to staff learning activities.
  •  Providing logistical and secretarial support to workshops and events as necessary.
  •  Track the performance management cycle processes, facilitate staff training in performance management, communicate and support timely planning and completion of appraisals.

Staff wellbeing:

  •  Assist the working groups and HR on planning and implementing measures and activities towards improving staff satisfaction and wellbeing.

To qualify as an advocate for every child you will have…

  •  Education: Completion of secondary education, preferably supplemented by technical or university courses in Human Resources or Business Administration.
  •  Experience: A minimum of 6 years of progressively responsible administrative and human resources work experience. Work experience within the UN or similar organization is an asset.
  •  Other Skills:
    •  Computer literacy and the ability to effectively use standard office software tools as well as proven experience in using HR systems.
    •  Ability to extract and format data and to solve operational problems.
    •  Ability to organize own work, set priorities and meet deadlines.
    •  Takes responsibility to respond to internal and external service needs promptly and proactively; takes initiative to ensure that deadlines, rules and regulations are met. Uses own discretion to address unforeseen situations.
    •  Demonstrates a high degree of confidentiality, initiative and good judgment.
    •  Demonstrates courtesy, tact, patience and ability to work effectively with people of different national and cultural backgrounds.

Languages: Fluency in English is required, and knowledge of a local language.
