WHO ARE WE ?

Doctors of the World is an international medical development NGO that is part of an international network. We provide medical assistance to vulnerable groups in Belgium and in the rest of the world. We want universal health care coverage where every person has access to care, without barriers.

In Belgium and around the world, our projects are aimed at all people who have no or no access to health care. In particular, they are structured into five axes: people on the margins of society, children in vulnerable situations, women, migrant or displaced persons and victims of crises or conflicts.

To carry out our mission, we base ourselves on three pillars :

  • Change: more than helping, we want to change things in the long term.
  • Witness : we do not remain silent. Thanks to our experience and our presence in the field, we challenge the ( local, regional and ( inter ) national ) powers with facts, figures and realities.

Our projects follow a series of values common to our entire organization: Social justice, Empowerment, Independence, Commitment, Balance.

CONTEXT

Since 2002, Doctors of the World has gained significant experience in meeting the medical and nutritional needs in Mali and has become a stable and constant partner in the support of health structures especially in the regions from the North (Kidal, Gao and Mopti) and since 2021, the Southern region (Kita) . More specifically in 2023, MDM-BE continues to implement ECHO, BHA and FM projects in the Menaka and Gao regions, and the DGD project in the Kita region focused on the integrated management of VBG cases. Mali is a Sahelian country that is experiencing a complex crisis and is suffering from many fragilities that threaten its sustainable stabilization, especially in the north of the country. This’ is a structural and conjunctural crisis. In this difficult time, though,MDM continues to evolve in its projects to be a militant actor for health care and universal access for the most vulnerable populations by supporting local actors to change the environment in a sustainable way situation. Our’ intervention themes focus on One Health, Sexual and Reproductive Rights, Primary and Nutritional Health Care, and the Fight against Gender-based Violence. L’ESSENTIAL

As Grant & Reporting Officer, you actively contribute to support the General Coordinator in the execution of his tasks in order to ensure the implementation of the operational strategy of MdM in the country.

TASKS & RESPONSIBILITIES

As a Activity planner :

Consolidate the tools for monthly and quarterly planning of activities sent by the Mission’s project coordinators.

Contribute to the proper execution and compliance with project deadlines.

Task examples

  • To be aware of all the objectives of the project and to support the basic coordinators in the consolidation of the periodic schedules with variable duration (one month, 3 months, one year)
  • Interactively integrate the activities of projects in the strict sense and the monitoring and evaluation activities into these schedules.
  • Participate in weekly project monitoring meetings, and discuss schedules with team members.
  • Monitor decisions and priorities defined between program services and support services ( Finance, Rh & logistics ) e respond effectively to needs relating to the implementation of activities
  • Report weekly to the General Coordinator on all of these activities

As Reporting officer :

Assist the CG in any task; including reading and writing a summary of technical documents, preparing preparatory notes, letters or speeches (..) in order to understand the extent of the issues and interlocutors associated with the implementation of projects in its technical and political aspects.

Task examples

  • Prepare an invitation, a letter or an analytical note, accompany it or represent it in an external meeting …
  • Participate in the meetings of the Coordination team, write the minutes…
  • Perform ad-hoc internal controls on site and/or during travel on projects
  • Participate with the’ coordination team in the reflection on the’evolution of the mission, and the programming of new projects and/or reorientation (project cycle, Annual Action Plans,’Intervention Strategy Countries)
  • Guarantee the classification, the’archiving of the documentation, and the security of the data produced by the CG

As a Communicator of activities :

  • To develop and implement the annual communication strategy in collaboration with the General Coordinator.
  • Regularly update the budgeted communication plan.
  • Increase the visibility, credibility and’ identity of MdM-BE / Mali towards beneficiaries and donors.
  • Mapping at all times the technical and operational capabilities of the mission in terms of communication ; training staff in communication techniques and basic advocacy and monitoring their involvement in communication.
  • Initiate and coordinate the visual documentation (photos and videos) of the projects implemented by the Mission.
  • Update the website of MdM-BE ; regularly feed social networks.
  • Prepare texts to be integrated into all MdM-BE communication tools (intranet, internet, social media, press and media campaigns etc.) in support of the communication team of the headquarters.
  • Prepare communication documents : press releases, texts for the press, messages during ceremonies, etc.
  • Translate texts between english and french.

As a participant of Reporting to the Institutional Bailors :

  • Disseminate the retro-planning periods and the forms and formats to be completed to the various departments and ensure that these are finalized on time ;
  • Coordinate writing by the various specialists in the mission and at headquarters
  • Compile contributions and contributions, review different contributions, share comments, receive responses, adapt and correct to ensure the quality of documents
  • Work in close collaboration with the program, logistics, HR and finance departments, to ensure consistency between the different components of the reports – that is to say the logical framework, the budget, logistics annexes, narrative and others ;
  • Write a fluid and coherent text, including any translation,
  • Lay out and insert images, tables, graphics cards etc. and ensure the good aesthetic presentation overall
  • Take care of the submission by the means indicated by the lessor and within the indicated deadlines.

These responsibilities will be implemented in a specific and transversal way on the basis of the annual individual’action plan, established in collaboration between the manager and the holder of the position in question.

YOUR PROFILE – International Profile

Studies /training and Experience

  • Bachelors in social sciences, political sciences, economics, law
  • Master in public health, development cooperation, humanitarian aid, communication

Skills and qualities required

  • Language: mastery of essential French, English is desired
  • IT: control of the Office package

  • Salary conditions: fixed-term contract * ( * 2 years of experience ) 2322.97 EUR Brut ( 4 years of experience ) 2369.66 EUR Brut. Perdiem 587 €, accommodation in Guesthouse
