How are you going to make a difference ?

Under the direct supervision of the Head of Emergency and Field Operations, the Assistant ( e ) to the Program supports the ( the ) section ( s ) concerned ( by performing a series of procedural tasks, administrative and operational, in order to contribute to the development, implementation and monitoring of their national program, ensuring that it is executed efficiently and on time, in accordance with UNICEF rules and regulations.

  •  Facilitate the processing of contracts for consultants, suppliers and external partners who support the office in the implementation of the program. These include preparing and classifying documents, filling out the necessary forms and models, downloading the terms of reference in VISION and making the necessary logistical arrangements. Maintain lists of suppliers, partners and consultants ;
  •  Collect invoices and classify documents for approval and further processing in VISION and Mycase ;
  •  Prepare and maintain files, documents and control plans for monitoring the implementation of the project / program and financial expenditure ;
  •  Support the management of administrative supplies and office equipment ;
  •  Maintain the office calendar and organize meetings. Write the minutes of the meetings and ensure the proper organization of the team’s correspondence ;
  •  Provide assistance to staff members of the section for the organization of travel and the granting of rights in accordance with the rules and policies of the organization. Liaise with travel focal points so that the organization obtains the best service and the best price for all trips ;
  •  Maintain and update a system for monitoring staff absences ;
  •  Prepare and maintain the planning and program development files for its respective sections.

To qualify ( e ) as a champion ( ne ) for each child, you will have…

Education : A secondary school diploma is required, preferably supplemented by technical or university courses / training related to the work of Unicef.

Professional experience : Experience of at least five years in an administrative or office position with increasing responsibilities is required.

Language knowledge : The perfect mastery of the French is required; Good level of English would be an asset. Knowledge of another official United Nations language or local language is considered an asset.
