The vacancy is located in Bogotá. The position belongs to the administration area specifically for the equipment for purchases and contracting of goods and services.

Hierarchical dependency

Under the general supervision of the FAO Representative in Colombia and the administrative officer and in close coordination with him senior purchasing and contracting specialist.

Field of specialization

The Travel Administrative Assistant will support the purchasing and contracting team and in turn the administrative area, complying with FAO standards.

Tasks and responsibilities

  •  Support national travel requests and reservations for FAO representation.
  •  Support National and Regional projects in travel logistics for international events.
  •  Support admission to GRMS Supplier ( NST ) Non staff Travel.
  •  Settle and review Mission Travel Claim ( MTC ) and Travel Authorization ( TA ) as national outputs, and field outputs.
  •  Support the review of airfare costs by following the rules of the FAO manual.
  •  Verify and process itinerary changes.
  •  Support Systematization and billing
  •  Support sending travel billing report and sending it for project review.
  •  Support in the solution and support that are presented in the administrative travel processes.
  •  Comply with the comprehensive safety standards and procedures established by FAO.
  •  Perform the other functions assigned to it according to the characteristics of the position and the needs of the representation.

THE CANDIDATES WILL BE EVALUED IN ARRANGE TO THE FOLLOWING CRITERIA:

Minimum requirements

  •  Title of technician or technologist or university student in business administration, administrative assistance, logistics or areas for purposes.
  •  Minimum experience of 4 years related to travel management.
  •  Practical knowledge of Spanish ( C level ) spoken and written.
  •  Colombian nationality or resident in the country with regular work permit.

Technical / functional skills

  •  Experience in management, monitoring and travel purchases.
  •  Intermediate Excel Experience.

  •  Teamwork ability, good interpersonal relationships and assertive communication skills.
  •  Experience in the United Nations System will be valued.
  •  Ability to act at all times with extreme discretion regarding United Nations documents, information and materials
  •  Permanent attitude and behavior of cordiality, composure, respect and collaboration with all the people and organizations with whom FAO interacts.

Selection criteria

  •  Intermediate Excel Experience.
  •  Writing skills.
  •  Experience in database development.
  •  Experience in the area of purchases and contracting of goods and services.
  •  Experience in the travel area.
