Organizational structure

This post is to be filled within the IT regional unit of the ILO regional office for Africa ( BR-Afrique ).

Main mission

As a member of the team, the incumbent provides a set of user support services, for the sake of efficiency, efficiency and customer service. The work covers assistance to end users, management of Active Directory ( AD ) objects, management and maintenance of office equipment, organization and maintenance of shared reader data, software deployment, control and support of local networks. The/the holder performs his daily tasks in a fully operational manner and solves various recurring IT problems which require the correct application of rules, regulatory provisions, policies, procedures and directives in force in the IT field.

The incumbent supports higher level IT staff within the Office. He / she works under the supervision of the regional manager of computer systems. This supervision is centered on meeting deadlines in the execution of processes and on the quality of results. The holder has a moderate degree of autonomy in his work. His work is under review to verify the application of the Bureau’s IT standards. For unusual problems, the holder must request technical instructions from and comply with the senior IT staff of the office.

Labor relations

Internal contacts take place with the personnel and managers concerned in the field offices, project offices, the regional office and at headquarters; they aim to provide support and exchange information on procedures and issues related to the provision of IT services, in accordance with applicable standards. The holder is regularly in contact with the senior IT assistant / IT administrator in the office.

External contacts take place mainly with IT service providers and aim to coordinate IT services with counterparts of United Nations agencies and other international organizations in order to obtain or provide information on services or supplies and the costs involved.

Essential functions and responsibilities

1. Exercise a set of IT support functions related to the deployment of hardware and software, the management of AD objects, support for local networks, supporting users and ensuring compliance with applicable standards. 2. Solve problems related to standard and office applications ( on site and by remote assistance ) while respecting hierarchical levels. Provide basic assistance and training to end users on how to solve common IT problems and help prepare reference documents as needed. 3. Based on the information provided by the human resources staff and / or the responsible staff within the office, manage the user accounts ( creation, updating and closing ),in accordance with the contractual status of officials. Store and update the information concerning each user in the AD and regularly check its accuracy. Review computer objects in the AD and eliminate unnecessary objects to ensure compliance with licenses. 4. Install, replace and maintain computer hardware and software – desktops and laptops, printers, telephones and WiFi access points, in particular. Deploy the most recent image on the ILO’s official PCs and ensure that they are equipped with official antivirus software. Clean PCs for spy viruses and software on seat instruction. Update the PC inventory in accordance with headquarters recommendations. Deploy and configure official tablets and mobile phones.Configure PCs to launch the Organization’s ( PGI ) ERP software package and other shared applications. 5. Grant access rights to applications and file systems through groups, in accordance with conventions and naming standards. Clean file systems. Inform and assist file and messaging quota officials. Help users eliminate unnecessary personal data files and duplicates. Save the data stored on a non-centralized infrastructure, in accordance with the applicable standards. 6. Prepare tickets to report technical problems that cannot be resolved locally and communicate them to the senior IT assistant / IT administrator in the office. 7.Deploy software through the Manager Configuration System Center ( SCCM ). Eliminate inadequate software. Dispose of and replace obsolete software. 8. Keep abreast of ( e ) of relevant rules, regulations, policies, procedures, directives and processes. Inform and advise staff, emphasizing the need to comply with IT standards. Participate in IT meetings and workshops. 9. Provide other IT support services, including installing videoconferencing equipment and providing the logistics required for the deployment of the computer equipment required for meetings. 10. Minimum requirements

Training

The holder must have completed secondary education, followed by computer training or an equivalent field

Experience

At least five years of experience in various IT support functions .

Languages

Excellent mastery of French . Practical knowledge of English will be an asset.

Knowledge and skills

Knowledge of IT security principles and practices. Knowledge of operating systems, shared applications, networks and ITIL processes. Excellent knowledge of PC software ( word processing software, spreadsheets and presentation software ) like Microsoft Office.
