THE POST

Purpose of the post :

Under the direct supervision of Supply Chain Team Leader, the (la) Supply Chain Assistant is responsible(e) for providing support to the operational teams in logistics and supply of the Djohong and Meiganga offices.

TASKS & RESPONSIBILITIES

the (the) Supply Chain Assistant will have the mission :

  • Purchasing management :
    • Evaluate the logistical needs (support) of the djohong and meiganga offices and develop the’achats documents leading to the placing of orders ;
    • Participate in the’assessment of tenders for supplies of goods and services (support) to be delivered at the djohong and meiganga offices ;
    • Track orders and ensure the receipt of goods and services at the sub-base level and jointly ensure with the applicant that the items comply with the technical specifications and quantities.
  • Equipment management :
    • Verify that all goods, old and new, are properly registered, labelled and listed in the’ inventory of djohong and meiganga offices;
    • Carry out physical control of the goods;
    • S’sensure of the good use of the goods of the’organisation at the level of the offices of djohong and meiganga.
    • Update the property database of the area
    • Physical and electronic archiving of documents
  • Inventory management :
    • Supervise deliveries and shipments to and from DRC warehouses and prepare the necessary documents ;
    • Management of inventory at the base level and in close collaboration with program staff, participate in replenishment requests.
    • Conduct inventory inventories in accordance with DRC procedures
    • Identify storage spaces when the need is reported in accordance with the DRC procedures
    • Physical and electronic archiving of documents
  • Management of premises : execution /validation / supervision :
    • S’insure the maintenance of the premises and guest houses of the’organisation in line with the standards defined by DRC ;
    • S’ ensure that DRC premises and guest houses meet the standards set by the’organisation in terms of premises security.
  • Fleet management /generator :
    • Perform regular monitoring of the state of operation of vehicles and generators (daily verification) and report maintenance needs to the Supply Chain Team Leader.
    • S’ ensure the availability of safety and first aid equipment in vehicles used by DRC teams (flight DRC and rented vehicles) at the djohong and meiganga offices;
    • S’ ensure that vehicle and generator tracking records (logbooks) are updated daily and report on’ usage and fuel consumption on a monthly basis ;
  • Manage fleet and generator sets as required (local maintenance operations) ;
  • Develop weekly movement schedules and manage all inter-office travel.
  • Others :
  • Participate in the development of monthly logistics reports as defined in the DRC Operations Manual.

KEY REQUIREMENTS

Experience and technical skills :

  • ’study level: Bac+2 minimum, university degree in logistics and/or supply chain management or equivalent degree ;
  • Experience : At least two (02) years of relevant professional experience’ ;
  • Experience in managing administrative tasks, including classification systems ;
  • Excellent computer skills (Pack Office), experience in operating a supply chain system « ERP » would be appreciated ;
  • Experience in supply chain management, including procurement /transport /warehouse management and inventory /distribution ; functions ;
  • Basic knowledge of automotive mechanics and electrical installations ;
  • Excellent command of the French language and good writing skills ;
  • Mastery of English is an asset ;

Mastery of written and spoken French. A mastery of’anglais is an asset.)
