STP Project Coordinator At OIKOS – Cooperation and Development


Under the direct supervision of the Program Coordinator and the Coordinator of OIKOS in STP, the/the Coordinator/a of Projects, will have as main responsibilities:

Coordination:

  • Coordination of the technical teams (s) of the project(s) and the different activities;
  • Articulation of all parties involved in the project, including partners, other authorities, beneficiaries, and, relevant actors and funders within the project and in accordance with contractual responsibilities and in close consultation with the OIKOS Program Coordinator and Country Coordinator and the project team;
  • Management and coordination of specialized technical assistance and technical services necessary for the implementation of the action;
  • Timely and quality reporting, in accordance with the deadlines and requirements of the headquarters and contractual, drafting and/or supporting the drafting of technical reports, and, supporting the preparation of financial reports and articulating with headquarters for submission of reports to funders;
  • Promotion of the articulation between different OIKOS projects, enhancing the synergies between them and the optimization of resources;
  • Maintaining fluent communication with project funders, within the scope of contractual activities and responsibilities, in conjunction with the Program Coordinator and Country Coordinator of OIKOS;
  • Representation of the Projects, within the scope of their activities and public actions, in articulation with the Country Coordination.

Implementation:

  • Implementation of activities in accordance with the contractual framework of projects and implementation proposals, ensuring compliance with the responsibilities of OIKOS and partners;
  • Support for studies and analyses on the social, economic and environmental context in PTS, specifically in topics related to the management of natural resources;
  • Monitor the development of the project, the implementation of activities and the achievement of objectives and results, using appropriate tools;
  • Support to project teams as well as to consultancies, audits and evaluations that are carried out under the responsibility of the projects or at the request of the funders;
  • Recompilation and communication of project information, within a knowledge management logic, keeping the project file up to date with all its documentation, including evidence of results, sources of verification of indicators, products of activities and administrative and financial documentation, in accordance with contractual requirements;
  • Contribute to project and stakeholder visibility by following applicable standards recommended by the consortium.

Management:

  • Update of the project organization charts, elaboration of terms of reference of the team under its responsibility and organization of the selection process, according to the contractual and OIKOS procedures, in conjunction with the Administration of OIKOS, Program Coordination and Country Coordination;
  • Ensure efficient and effective management and administration of the project and all its resources, including human resources, in collaboration with OIKOS teams and partners, and, in accordance with the approved proposal and with the contractual rules, including administrative monitoring and financial implementation;
  • In close collaboration with the Administrator of OIKOS in STP, ensure the sound financial and operational management of the Projects, monitoring the monthly financial execution and compliance with administrative procedures, in accordance with the procedures of OIKOS and the funders;
  • Contribution in the elaboration of procedures for contracting goods, works and services and follow-up of the contracting processes, in collaboration with the Administrator of OIKOS in STP, and when necessary, with the headquarters of OIKOS;
  • Ensure the effectiveness of knowledge management systems and monitoring of projects, ensuring the systematization of information, the proper measurement of indicators and contributing to demonstrate the relevance, effectiveness, efficiency, and, impact and sustainability of projects;
  • Technical and financial planning of the projects, in accordance with the requirements of the funders and with the procedures of OIKOS, consolidating and harmonizing the planning of the different activities;
  • Drafting, review and/or consolidation of technical reports, according to the deadlines and requirements of the headquarters and contractual;
  • Review of financial reports and harmonisation between financial and technical reports, in collaboration with financial officers;
  • Identification of resource management opportunities and complementary projects, which allow to expand the impact of current projects;
  • Ensure the visibility of projects following the applicable standards and contribute to the production of communication materials (interviews, media production, .) in conjunction with project teams.

Others:

  • Contribute to the good relationship with other/the institutional and social actors/actresses;
  • Ensure good internal communication in relation to the project and between projects;
  • Ensure the integration of cross-cutting approaches that promote gender equality, social inclusion, environmental protection and the human, social, economic, environmental and cultural rights of populations;
  • Support the identification and preparation of project proposals, in particular those that contribute to complement and/or strengthen activities in the rural sector and sustainable management of natural resources, including, in line with the OIKOS intervention strategy for Sao Tome and Principe.

QUALIFICATIONS

  • Be holder of relevant academic training, of higher level;
  • Minimum experience of 3 years in implementation/management of development projects and/or environmental conservation;
  • Good knowledge of the social and institutional fabric of PTS;
  • Good knowledge of all phases of the project cycle and project management tools
  • Availability for travel in the country;
  • Driving licence for light vehicle;
  • Excellent interpersonal relationships, sense of initiative, work ability and teamwork
