WHO WE ARE AND WHAT WE DO…

The Humanitarian Logistics Cooperative (also known as “hulo”) is the first humanitarian cooperative that connects actors and pools resources to optimize logistics and supply chain. The member organisations of hulo are Acted, Action Against Hunger, Bioport, the French Red Cross, Fleet Forum, Handicap International / Humanity & Inclusion, Intersos, Doctors of the World, Norwegian Refugee Council, etc, Oxfam Intermon, Plan International, First International Emergency, International Solidarity, and Welthungerhilfe.

Its aim is to increase the impact of humanitarian aid by strengthening links and solidarity between humanitarian logistics actors and by improving performance through pooling resources and expertise in logistics and supply chain.

Hulo was created in June 2021, and today its permanent team is composed of about forty people, spread over several countries. We expect significant growth in the coming months, as has been the case since the launch of the Cooperative. We work with dynamism to the growth of this Cooperative and its impact, with daily challenges around the’innovation, structuring and continuous improvement of our business.

JOB DESCRIPTION

You will join the’ team of the Support department composed of 6 people with technical and transversal skills and divided into 3 poles: a pole in charge of institutional grants, a pole in charge of resource management and a pole in charge of purchasing and management control, of which you will be part.

In order to’ support hulo and its members in the implementation of the’achat process and strengthen the’support team in financial management, the, the support department has created the position of « Purchasing and administrative management (H/F) ».

Under the direct responsibility of the Procurement and management control manager, and in continuous coordination with the’ support team and the other departments of the Cooperative, you will have the following missions :

Mission 1: Contribute to the respect and implementation of the’achat procedure of the cooperative

  • Master the procedure of’achat hulo and those of the members of the cooperative involved in the’achat procedure.
  • Support applicants in the’ identification and selection of suppliers.
  • Create the Internal Order Vouchers (IBCs) and fill in the tracking tables related to the’achat procedure.
  • Follow the deadlines and the renewals of the purchase orders,’achats contracts and framework contracts.
  • Signature the quotes and invoices in accordance with the procedure of’achat hulo.
  • Ensure that’achats records are compliant, complete and archived.

Mission 2: Contribute to the management and administrative, accounting and budgetary follow-up of the cooperative

  • Monthly coding of bank extracts in connection with purchase orders.
  • Monthly codify invoices and ensure transmission to the accounting firm.
  • Regularly update budget follow-ups related to purchase orders.
  • Participate in the monthly monitoring of the consolidated budget.
  • Follow the hulo expense reports and write the refund sheet for passage into payment.

YOUR PROFILE

  • HOLDER of a BAC+5 diploma, in logistics or management/economics/administration
  • First professional experience of at least 2 years in the community of humanitarian organizations and on a similar position
  • Good knowledge of the purchasing process and the logistics and supply chain
  • A good capacity for organizing, mobilizing and coordinating actors with different profiles is essential.
  • Mastery of essential English.

HULO YOU WILL OFFFRIRE THE FOLLOWING CONDITIONS

A full-time salaried position

  • Based in Montreuil in France with the possibility of working remotely.
  • French fixed-term employment contract.
  • Salary conditions :
  • Framework status
  • Annual gross salary: 32K € over 13 months
  • 22 days of RTT per year and 25 days of paid vacation
  • Mutual and AXA Provident ( 100% support per hulo )
  • Transport: 50% of the fixed cost of commuting is covered.
  • Tickets restaurants : face value of 8€, supported at 60% by hulo
  • Specific conditions and skills: prolonged sitting, speaking, screen work, telephone contact.
