Organisational Setting and ReportingThis position is located in the Division for Sustainable Development Goals (DSDG) of the Department of Economic and Social Affairs (DESA), in the Integrated Policy Analysis Branch. The Division provides leadership in promoting and coordinating implementation of the sustainable development agenda of the United Nations and serves as the global secretariat for the 17 Sustainable Development Goals (SDGs) of the 2030 Agenda for Sustainable Development and provides substantive inputs to the High-level Political Forum on Sustainable Development. The Programme Management Assistant reports to the Chief of the Integrated Policy Analysis Branch and will primarily support the Energy Team of the Division.

Responsibilities

Within limits of delegated authority, the Programme Management Assistant will be responsible for the following duties:

  •  Assists in the coordination of programme/project planning and preparation work for the Integrated Policy Analysis Branch; monitors status of programme/project proposals and receipt of relevant documentation for review and approval.
  •  Compiles, summarizes, and presents basic information/data on specific programmes/project and issues relevant to sustainable development.
  •  Reviews project documents, especially cost plans/budgets, for completeness and compliance with relevant rules and procedures prior to submission for final approval and signature; identifies inconsistencies; distributes project documents to relevant parties upon approval.
  •  Reviews budget revisions; verifies availability of funds; ensures necessary approval and entry in computerized budget system.
  •  Serves as Branch focal point for administrative coordination of programme/project implementation activities, involving extensive liaison with the Executive Office and the Capacity Development Programme Management Office to initiate requests, obtain necessary clearances, process and follow-up on administrative actions, e.g. recruitment and appointment of staff and non-staff personnel, travel arrangements, training/study tours, authorization of payments, disbursement of funds, procurement of equipment and services, etc.
  •  Compiles, summarizes and enters data on project delivery; drafts related status reports, identifying shortfalls in delivery, budget overruns, etc., and brings to the attention of management.
  •  Drafts correspondence on budget-related issues and prepares and updates periodic reports, briefing notes, including through summaries and cost plans.
  •  Provides general office assistance; responds to complex information requests and inquiries; reviews, logs and routes incoming correspondence; sets up and maintains files/records; organizes meetings, workshops; handles routine administrative tasks, such as room reservations, travel requests, procurement, etc.
  •  Provides guidance/training to new/junior staff.
  •  Performs other duties as assigned.

EducationHigh school diploma or equivalent is required.

Work ExperienceA minimum of five years of experience in programme or project administration, technical cooperation or related area is required. Experience in using integrated information management systems, such as Umoja or a similar system, in performing programme or project administration tasks, is desirable. Experience in using information management tools for programme monitoring and evaluation is desirable. Experience working with the UN system or other international organizations is desirable.

LanguagesEnglish and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of another official United Nations language is an advantage.

AssessmentEvaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.

Special NoticeThis is a project post. Appointment or assignment against this position is for an initial period of one year. The appointment or assignment and renewal thereof are subject to the availability of the post or funds, budgetary approval or extension of the mandate.
