People & Culture Coordinator At Plan International


role PURPOSE

Dimensions of the Role

The People and Culture Coordinator (P&C Coordinator) reports to People and Culture Manager (P&C Manager), and supervise Two P&C Staff members, an Officer and an Assistant. The P&C Coordinator will be responsible for supporting the P&C Manager in leading and ensuring implementation of P&C policies, goals, objectives, and guidelines; this includes overseeing Personnel, Recruitment, Performance management and Staff care. The role involves working collaboratively with various departments and external stakeholders.

Accountabilities

  • Compliance and adherence to Plan International policies, guidelines, handbooks, goals, objectives, and donor/auditor requirements and national law in all processes and procedures.
  • Supervise P&C Staff and support building their capacities
  • Develop and maintain trackers and ensure HR data accuracy. Support the P&C manager in data analysis, and provide recommendations to enhance the P&C department’s work.
  • Total Rewards, Contracting, including Job evaluation, salary scales and benefits review and update.
  • Build effective relationships with Plan International staff as well as external parties.
  • Recruitment:
  • Lead on recruitments to ensure that Plan Jordan has a functional work force with guidance of HR Policies.
  • Oversee the Master recruitment tracker data,
  • Provide support and guidance to hiring managers,
  • Ensure all recruitments’ documentations are completed and properly archived on the online folders.
  • Personnel:
  • Oversee the tracking of all processes by the P&C team and support the P&C manager in reporting the P&C numbers to the management, Regional and Global hubs. Overseeing the team in collecting all necessary documentation,
  • Develop and maintain the staff Data base,
  • Ensure proper Tracking leave days and timesheets,
  • Ensure confidential, safe, and standardized filing of personnel documents in the office (physical files) and on One Drive (online Files).
  • Ensure proper implementation of the retention policy.
  • Ensure that all staff understand the need of the performance cycle, and that all staff have their Objectives set on the HRIS, and carry out regular performance discussions with supervisors/managers are documented.
  • Following Up on HRIS performance and individual development plans reports.
  • Track and follow up with staff to complete their mandatory trainings on timely manner, utilize the training programmes that PI provides. In addition, coach the line managers of the importance of the regular constructive feedback, documented one-to-one meetings with their team members, and create learning opportunities to our staff members by exploring new platforms and training providers.
  • Work on the training needs assessment and following up with staff and line managers.
  • Support the P&C Manager in building the capacity of PIJO’s staff in the P&C’s requirements through tailored training programs, one-on-one coaching sessions, and the development of comprehensive resources and guidelines.
  • Accountable for Data Integrity that provides accurate data-driven decision making.
  • Prepare and follow up on reports; such as: P&C KPIs, Master database, Recruitment master tracker, on-boarding tracker, Leave trackers…etc.
  • Create trackers upon need to ensure the accuracy and readiness of P&C data.

  • Payroll: Ensure accurate payroll administration according to PIJO’s rules and regulations in compliance with the applicable national laws.
  • Audit: Ensure that the P&C department’s readiness for any audit.
  • Staff Care: Staff Care and Wellbeing practices, CO context-aligned framework, and staff health and safety practices.
  • Reporting:
  • Support the P&C manager in facilitating the Talent Management and Succession Plan, including short and long-term succession bench strength. Contribute to cross-regional succession planning.
  • Support the P&C manager in developing the CO critical positions’ Workforce Plan and identify and address the gaps.
  • Ensures that Plan International’s global policies for Safeguarding Children and Young People and Gender Equality and Inclusion are fully embedded in accordance with the principles and requirements of the policy including relevant Implementation Standards and Guidelines as applicable to their area of responsibility. This includes, but is not limited to, ensuring staff and associates are aware of and understand their responsibilities under these policies and Plan International’s Code of Conduct (CoC), their relevance to their area of work, and that concerns are reported and managed in accordance with the appropriate procedures

  • Internals: All Plan International Jordan staff and Reginal and Global Staff when needed
  • Externals: Ministry of Labour, Social Security, Medical Service Provider, HR Forums like Jordan International Forum (JIF Group)

Technical expertise, skills and knowledge

Essential

  • University degree in any related field, or Human Resources Diploma
  • A minimum of 3 – 5 Years of experience in Human Resources/ People and Culture
  • Experience in working in an international organization (INGO and/or UN)
  • Very strong understanding of Labour Law and Social Security laws
  • Excellent knowledge of Arabic and English mandatory.
  • Flexible work attitude and ability to work independently within a small team;

  • Excellent communication skills; Ability to effectively communicate with a diverse and cross-cultural audience
  • Good facilitation skills and ability to deliver induction briefing/trainings;
  • Analytical and problem-solving skills

  • Proficiency in MS office tools (Word, Excel, Power point, Visio … etc.)

ROLE PROFILE

Location: Plan Jordan, Amman

Grade: Level 14

Type of contract: 6 months fixed contract, renewable subject to the availability of funds and satisfactory performance.
