Position Overview

Coordinators are responsible for providing high-quality administrative and research support across or within BSR’s Shared Services functions. The Office Coordinator role supports the team for the benefit of internal clients and external partners and suppliers.

The Office Coordinator will provide general office support duties for BSR’s New York office and will report to the People Operations Manager. As the first point of contact for visitors, the Office Coordinator will set the overall tone of the experience with BSR of many of our member companies and clients. This role also provides the candidate with opportunities to gain exposure to many areas including People Operations, Office Management, Executive Support, and Consulting Services. Therefore, a strong commitment to professionalism and quality service combined with the ability to organize, multitask and be flexible is essential.

This position is hybrid, with a minimum of three days of on-site work in New York City and up to two days of remote work. The on-site requirement may be greater than three days depending on need – for example during weeks with several on-site events occurring in the New York office.

Responsibilities : Employee Experience: Greets and assists all incoming visitors; Works to monitor workstations and common spaces (conference rooms, kitchen, staff lounge, etc,) to ensure professional environment is maintained; Coordinates with IT support to ensure proper function of video conferencing services on-site; Keeps kitchen pantry stocked with basics (coffee, tea, fruit); Organizes office events including retreats, team offsites, weekly team meeting, holiday party and regular team lunches with help from Fun Committee; Creates inclusive, collaborative, and rewarding culture for all employees affiliated with the New York Office including remote employees. Office Administration : Responds to general inquiries through email, BSR website, voice mail and in person; Serves as first point of contact for building management and attends quarterly tenant meetings; Provides general distribution of staff and building announcements via email; Collaborates with other BSR office managers/coordinators to ensure processes are communicated and aligned globally (e.g., disaster preparedness, emergency call tree, organizational chart, visiting BSR employees, etc); Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement and procedure for office; Manages BSR correspondences including sorting and dispersing incoming mail and faxes and processes all outgoing mail; Orders and distributes all office supplies and distribution of staff business cards. Keeps supplies organized and reviews items to keep ahead of supply needs, removing unwanted supplies as needed; Manages vendor communications to ensure day to day needs are met (e.g., office close dates).

People Operations: Support People Operations processes such as onboarding and offboarding; Assist with ad-hoc projects.

Executive Support: Calendar and expense report management for Directors and above (5 – 7 people) affiliated with the New York Office; Provide administrative support (meeting facilitation, detailed note taking, travel planning) as needed.

Compensation

At BSR we have implemented a transparent total compensation framework with an emphasis on internal equity. In order to maintain our equity, our hiring rate for this position is $57,453. Location adjustment will apply if successful candidates resides in New York ,San Francisco or Paris.

Qualifications

  •  1 – 3 years of Office Coordinator/Administrative Assistant experience
  •  Experience or interest in Human Resources a plus
  •  Excellent English-language written and verbal communication
  •  Experience with Microsoft Office tools, especially Outlook, Word and Excel
  •  A positive attitude, focus on teamwork, entrepreneurial mindset, proactive problem-solving skills, strong organizational skills, and keen attention to detail are key attributes
  •  Capacity to work and thrive in a growing, fast-paced, and entrepreneurial organization with a collaborative environment
