Overview of position:
This position is based within the facilities environmental management unit. The position primarily involve the maintenance of fixed assets records for the organization. They have a functional relationship & closely liaise with the property management unit & finance & budget units.
Within the delegated authority from the Chief of Facilities & Environmental Management unit, the ICT Project Support shall be responsible for the following duties:
Encode the inventory of camp management in Field Service Suite (FSS), ensuring data accuracy & alignment with standardized ratios.
Regularly review data for inconsistencies or errors & take corrective actions to maintain data integrity.
Monitor the movement of camp management items, including check ins, check outs & transfers.
Update the database with changes in item status, location & condition.
Conduct periodic inventory audits to compare physical stock with electronic records.
Use these audits to identify discrepancies & update the database accordingly.
Develop custom reports from the data of FSS.
Creates & modify notification for equipment / property assignment, verification, write offs, etc.
Review units’ equipment inventory for impairment, damage, end of useful life.
Performs Goods Issue (GI) & receipt in stock in UMOJA.
Maintain & modify equipment data record for user assignments, functional locations & condition update.
Coordinate with internal technical cells on initiation of procurement as needed for inventory replenishment.
Coordinate yearly impairment review of assets with internal technical cells.
Coordinate with the central warehouse for GI, Transfer Order (TO) confirmation & goods pick up.
Maintain electronic filing system to manage GI slips, written off documents, hand over documents etc.
Monitor the movement of equipment & stock in UMOJA.
Manage stock surplus & equipment conditions.
Reconcile material ID’s.
Ensures the accurate compilation of Asset Under Construction (AUC) project costs.
Perform other duties as required by the Chief of Unit.
Project reporting:
This role reports to the Chief of Facilities & Environmental Management unit
Key competencies:
High school diploma or equivalent is required.
Supplementary courses or additional training in administration, logistics, supply chain management or other related field is desirable.
A minimum of five years of progressively responsible experience in supply chain, inventory management, logistics, procurement, administration or related area is required.
Two years of work experience at the international level is required.
Experience providing logistics & supply chain support services in a volatile, conflict or post conflict environment is desirable.
Experience working with Enterprise Resource Planning (ERP) systems or similar in the areas of scheduling, inventory control, procurement & / or logistics processes is desirable.
Fluency in English (both oral & written) is required & knowledge of the other language(s) is desirable.
Knowledge of IPSAS requirements in relation to fixed assets. Knowledge of property management & / or real estate. Ability to apply conceptual, analytical & evaluative skills in accounting operations. Ability to conduct independent research & analysis, identify issues, formulate options & make conclusions & recommendations. Shows pride in work & in achievements; demonstrates professional competence & mastery of subject matter; is conscientious & efficient in meeting commitments, observing deadlines & achieving results, is motivated by professional rather than personal concerns, shows persistence when faced with difficult problems or challenges, remains calm in stressful situations.
