Executive Assistant, Legal and Governance Department – GL B – French Speaking

The Executive Assistant (EA) is responsible for providing a range of high quality executive level support to the General Counsel and Head of Legal and Governance and the Leadership Team of the Department, to promote efficient delivery of services and, where applicable, effective management of the Legal and Governance. The EA directly supports the General Counsel and Head of Legal and Governance and works closely with Leadership Team as part as part of a highly collaborative Legal and Governance Department. In working closely with internal and external contacts, the EA deals with a wide range of highly sensitive issues under tight deadlines/pressures.

Key Responsibilities

The Executive Assistant:

  •  Is responsible for coordinating internal meetings agendas and briefings, including the Management Executive Committee, and support prioritization and tracking of key milestones and requirements time scheduling and management on behalf of the General Counsel and Head of Legal and Governance to include effective prioritizing and resolving related conflicts and competing demands.
  •  Provides substantial support to the General Counsel and the Leadership Team, including proactive preparation and coordination of briefings for meetings, undertakes analyses/research and coordinates follow-up actions.
  •  Support knowledge management efforts within the Department and assist the General Counsel and Head of Legal and Governance and the Leadership Team in their engagement within the Department and with clients and officials both inside and outside the Secretariat, interacting with a significant network of management and employees from within the Legal and Governance Department and across the organization.
  •  Participates in key internal meetings to capture proceedings as required by the General Counsel and Head of Legal and Governance.
  •  Coordinates preparations and follow-up actions with relevant persons in relation to decisions made in these meetings
  •  Effectively provides general research support and utilizes all relevant computer software to retrieve, maintain and manipulate data as needed
  •  Keeps stakeholders within the Legal and Governance Department and outside the Department informed by providing relevant information on various matters, reports or status updates to facilitate their roles and to ensure timely updates or dissemination of information
  •  Supports and works collaboratively, as requested, with members of the Legal and Governance Department and members of the Administrative support team, as well as with others in diverse work groups/teams/task forces, across the Secretariat
  •  Works with the highest level of discretion in providing wide-ranging executive assistance support to General Counsel and Head of Legal and Governance.
  •  Routinely involved in relaying/processing/handling information of sensitive, diverse and confidential nature
  •  Independently responds to extensive and diverse inquiries, and makes decisions when multiple courses of action are possible
  •  Routinely prepares correspondence on a range of topics on behalf of the General Counsel and Head of Legal and Governance and prepares minutes of meetings as required

Qualifications

Essential:

  •  Bachelor’s Degree in relevant field (Business Administration, Communications, etc.)
  •  Intermediate to advanced certification in computing and or relevant experience

Desirable:

  •  Professional secretarial or administrative training from a recognized institution

Experience

Essential:

  •  Proven secretarial/administrative experience in a similar legal and governance setting and in a multicultural environment
  •  Extensive practical PC application on MS Office and other applications

Desirable:

  •  Over 5 years of secretarial/administrative experience in a similar legal and governance setting and in a multicultural environment
  •  Knowledge of the Global Fund’s organizational structure, personnel and administrative procedures, processes and delivery mechanisms
