Conditions related to the position
- Under the supervision of the/Chief/f of Cooperation, the post holder shall organise all correspondence of the Swiss Cooperation, ensure proper planning and organisation of all the activities of the office management, manage the reception of various missions and visitors, assist with representation and communications, provide consular and administrative support, and perform other related tasks, as necessary.
Main responsibilities and functions
- Write diplomatic notes and supervise all correspondence of the Swiss Cooperation;
- Responsible for the reception and sending of mail representation ;
- Maintain the bank of contacts of government officials and diplomats and partners of the representation ;
- Attend the/leader/fe of Cooperation in relation to the planning and organization of travel, missions etc.
- Support the/lead/fe of cooperation in the’implementation of various projects as well as the drafting and editing of different types of texts of’ interests of the Swiss Cooperation ;
- Organize travel and accommodation of the team including visa applications. Organization of mission programs for visitors from the headquarters and Embassy in the Dominican Republic.
- To act as an intermediary between the Swiss Consulate in the Dominican Republic and the Swiss Cooperation in Haiti for the processing of consular files such as marriage registrations, divorces, births and deaths, passport and’ identity card orders, the’ establishment of life certificates etc. ;
- To serve as an active member of internal crisis management bodies;
- Assist in planning, implementing and promoting communication activities such as internal workshops, public events, receptions and academic conferences; provide support to the/the communication manager
- Various tasks of secretariat
Qualifications required
- University degree in Secretariat or Administration ;
- Minimum 3 years of relevant professional experience in the Secretariat or’Administration;
- Organizational capacity, rigour, honesty ;
- Reliability and discretion;
- Ability to work independently;
- Knowledge of Haitian and/or Swiss agencies and ministries ;
- Knowledge of diplomacy and protocol;
- Ability to organize and conduct events ;
- Perfectly master oral and written communication in French ; ability to communicate effectively in English both at the’oral and’ written ; ability to communicate in Spanish both at the’oral and’
- Ability to write and edit reports and correspondence as well as internal and external documents ;
- Ability to prioritize multiple tasks within tight deadlines;
- Good command of office tools (Outlook, Word, Excel, PowerPoint).
Skills
- Be able to’analyze and promote solutions ; have a good ability to conceptualize and organize work in an effective and efficient manner ; accuracy and attention to detail, have good competence in facilitating change processes ;
- Have excellent skills and great ease in writing and editing texts (sustained french/professional) ;
- Ability to organize’events ;

- Team spirit, sense of responsibility, rigor, honesty, reliability and discretion, autonomy and availability for work ; have a customer service aptitude, be proactive ve, be available to work in coordination with all development actors.
