SECTION 2

Context and Scope of the Organization

Under the direct supervision of the Treasury Supervisor and the general supervision of the FOAT, the Financial Assistant will be responsible for performing the following functions, primarily related to the Treasury Department.

SECTION 3

Responsibilities

  1. Contribute to the development of a work plan – in coordination with the Finance Officer, for the planning of financial resources, implementation and monitoring of project activities.
  2. Review payment processes and record them in the system.
  3. Preparation of payments according to your method (bank transfers, checks or others)
  4. Support to the Financial Unit in all project closing processes and monthly closings.
  5. Support in the preparation and monitoring of Purchase Requisitions (PR) and Payment Requests (RFP); When required,
  6. Ensure that all payment processes carried out are supported by the proper documentation (receipts, quotes, payment requests, etc.) required by IOM.
  7. Registration in the accounting system in the institutional account.
  8. Preparation and monitoring of reconciliations with suppliers.
  9. Physical file control of accounting transactions and others.
  10. Assist in the control and execution of regular payments associated with projects (e.g., payment of consultant fees and other services).
  11. Provide support to the mission’s Financial Unit in compliance with financial and administrative processes in accordance with IOM regulations.
  12. Strictly comply with IOM procedures, regulations and standards of conduct.
  13. Any other function that, according to his/her capabilities, may be requested by the Accounting and Finance Administrator, the IOM Resource Management Officer or his/her Supervisor.

SECTION 4

Required Qualifications and Experiences

EDUCATION: University Degree in Finance, Accounting, Economics, Business Administration, or related fields, with at least three years of professional experience in areas relevant to administration.

High School Diploma with at least 5 years of relevant experience in the field.

EXPERIENCE:

  • Proven handling of office software packages (MS Word, Excel, Power Point, Project).
  • Knowledge in SAP is an advantage
  • Experience in administrative purchasing, accounting and treasury processes.
  • Experience working in any UN system or any multicultural organization is an advantage.
  • Experience working with local governments and community leaders, national counterparts, as well as Non-Governmental Organizations.
  • Experience in projects related to migrant populations, the protection of human rights of vulnerable groups, assistance and case-by-case monitoring of beneficiaries, among others, will be an advantage.
  • Experience in facilitating workshops and training processes in administrative areas.
  • Experience in preparing financial and executive reports, systematizing experiences and preparing financial documents.
