Job Role

As part of the External Relations and Governance Department (ERG), the Communications Division (COM) leads implementation of IFAD’s Communication Strategy and acts variously as facilitator, partner and leader with regards to delivery of IFAD’s internal and external communication work. COM is a strategic partner for IFAD departments, divisions, offices and units in Rome and across the globe. The division has a team of expert staff in media relations, video production, writing, publishing, web and other digital media, graphic design, visual identity, brand management and internal communication to meet IFAD’s communication priorities.

Working across COM, the consultant will provide logistical strategy, design and delivery of IFAD’s high-priority internal and external events.

More specifically, the Consultant will:

  •  Analyse the current demand for internal and external events at IFAD and make recommendations, outlining resource requirements, defining approaches and generating guidelines.
  •  Plan and manage selected high-level internal and external events, ranging from webinars and town hall gatherings, to virtual, hybrid and in-presence events and conferences.
  •  Execute technical aspects of virtual events including but not limited to digital platform management (e.g. Zoom or Microsoft Teams), live streaming, run of show, and presentation of slides, video, music, and sound.
  •  Work closely with internal business owners to define the scope of the event and make recommendations to enhance audience engagement and success, while coordinating necessary content, such as background documents, agenda and speaker bios for promotion.
  •  Collaborate with responsible COM Units to arrange for design of branded elements, backgrounds and templates, as well as appropriate photographic and video content.
  •  Coordinate with IFAD service divisions to ensure interpretation and/or translation, as well as technical delivery and adherence to corporate processes.
  •  Coordinate and lead technical rehearsals with the relevant staff, partners, producers and participants.
  •  Monitor impact (audience and engagement) and provide recommendations to strengthen the success of IFAD events.
  •  Represent COM in various meetings to discuss upcoming events.
  •  Complete other duties as assigned.

Key Performance Indicators

  •  Study the current environment, recommend an approach and generate guidelines in support of ongoing event management at IFAD, identifying resource requirements.
  •  Create and maintain a calendar of IFAD events, identifying lines of responsibility through the last quarter of 2023 and into 2024.
  •  Plan and manage select high-level events, including IFAD’s Governing Council and COP28, organizing and briefing internal business owners, coordinating with service providers, scheduling and leading technical rehearsals etc.
  •  Research and recommend interactive tools to encourage and enhance active audience participation, on site and remotely.

Job Profile Requirements

Qualifications and Skills Required:

Education and experience

  •  Advanced University degree in Event Management, Television Production, Computer Sciences, Journalism, Communications or other relevant field. The Advanced University degree may be substituted by a First University degree (Bachelor or equivalent) plus at least four additional years of relevant professional experience, over and above the minimum number of years of experience as stipulated below, preferably with experience in managing people.
  •  At least 2 years’ relevant working experience in virtual event management, and at least 5 years’ experience in event planning and production

Technical/behavioural competencies

  •  Teamwork; professionalism; managerial experience/competence; negotiating skills; analytical skills.

Languages and other skills:

  •  Fluency in English required. Knowledge of other IFAD official languages an asset.

It must be noted that Consultants are not Staff of IFAD, and that a Consultancy does not carry any expectation of employment with the Fund. Remuneration will be in line with the standards set for UN Consultants.
