Organizational framework

Administrative support will work at the FAO Regional Office for Latin America and the Caribbean ( RLC ), in Santiago de Chile.

The Organization will hire one to provide experience, skills and knowledge for specific initiatives that are short-term in nature, ranging from a few days or weeks to a maximum of 11 months. The possibility of an extension is subject to satisfactory performance and depending on the resources and needs of the Organization. Assignment may involve full or part time functions.

Hierarchical dependency

Administrative support will work under the general supervision of the unit leader in conjunction with various relevant actors in the Organization.

Tasks and responsibilities

Administrative support will be responsible for executing various administrative tasks, focusing on the following main tasks:

  •  Complete documents, create and update databases, update and track minutes, among others
  •  Support in the writing ( English and Spanish ) of letters, emails and various communications
  •  Support in agenda management, coordination of meetings and interviews
  •  Participate in the organization of workshops and meetings, including sending invitations, room reservations and external spaces, coordinating trips, preparing materials, among others.
  •  Participate in selection processes and prepare the respective reports
  •  Manage the contracts and renewals of contracts of consultants of the Unit and others required for special events / programs / projects, applying the relevant corporate policies
  •  Manage the necessary requirements for the Unit’s trips, including processing of travel authorizations, air tickets, insurance and travel refunds, among others.
  •  Assist colleagues in the Unit in administrative tasks such as quotes and purchases, monitoring, control and filing of internal information, writing minutes and monitoring various topics, among others.
  •  Support in the preparation of the annual budget and keep track of annual expenses in line with the budget.
  •  Manage procurement processes under corporate modalities, including payment control of products and services

Requisitos mínimos

  •  Educación secundaria completada
  •  Mínimo de 2 años de experiencia relevante en actividades administrativas
  •  Conocimiento nativo/avanzado del español (nivel C) y conocimiento práctico del inglés (nivel B)
  •  Nacional de Chile o con permiso de trabajo en el país

  •  Deseable – Conocimiento práctico (nivel B) o avanzado (nivel B) del portugués
  •  Desirable – Title or technical diploma in business administration, public administration, bilingual executive secretariat, logistics management, accounting, translation, human resources, or related areas
