Position Description

Reporting Line

The Logistics Assistant reports to the RET Local Project Officer in Coro, Falcón State, the Local Administration and Finance Assistant, as well as the Security and Access Assistant.

The Logistics Assistant works in close coordination with the local Administration and Finance Assistant and the National Logistics Officer in Caracas.

Main location

The position is based in the RET Local Office, located in Coro, Falcón State. There will be frequent field trips.

Specific Responsibilities

  • Leads and technically assists all staff and other departments in logistics processes related to the distribution of food and non-food products.
  • Leads the planning and development of distribution routes and follows up with carriers.
  • Make dispatch plans to schools or transfer points.
  • Implement transportation and storage strategies to ensure food distribution.
  • Develop standard logistics processes that guarantee control and monitoring of operations.
  • Leads procurement processes for goods and services related to logistics operations.
  • Coordinate logistics operations considering the variables involved (transport capacity, storage, etc.)
  • Support the administrator in identifying suppliers of goods and services at the state level.
  • Supervises the warehouseman and driver of vehicles for transporting food.
  • Receive/dispatch products in the warehouse
  • Reconciles daily warehouse closing and precise stock controls
  • Conducts daily inspections and prepares reports on the quantity and quality of products received/dispatched and handled; promptly detects discrepancies/damages in stock and analyzes the reasons, investigates the reason for the shortage and prepares reports on warehouse losses recommending appropriate solutions
  • Applies appropriate measures to safeguard food to ensure quality control using standard preventive measures in accordance with procedures
  • Prepare, verify and sign warehouse and transport documents; maintain confidential files and accurate records of warehouse transactions to be able to immediately account for product movements in accordance with institutional requirements.
  • Support the logistics activities indicated by the RET Local Project Officer, and ensure strict compliance with RET policies and manuals during their implementation.
  • Establish a fumigation and cleaning plan for the warehouse and its surroundings, in accordance with the regulations and good practices established by the partner.
  • Implement and strictly monitor compliance with RET’s Purchasing Policy and Manual in Venezuela in all processes for the acquisition of goods and services.
  • Support the Local Administration and Finance Assistant in the development of procurement processes in accordance with the budget availability of the programs and projects and the work plan.
  • Maintain RET Venezuela’s inventory of assets up to date.
  • Ensure proper processing, filing and safekeeping of contracting, administrative and accounting supporting documents.
  • Receive, register, distribute and/or store the goods and services acquired.

  • Work with trust and integrity and have a clear commitment to RET’s core values ​​and principles, ensuring that activities and performance comply with the RET Code of Conduct, the PSEA and other Manuals and Internal Policies;
  • Ability to work independently and as part of a team, demonstrating management and leadership skills;
  • Ability to communicate clearly and sensitively with relevant institutions and organisations, and with internal and external stakeholders, as a RET representative. These skills include effective negotiation and representation;
  • Propose, in a constructive manner, alternative solutions to problems that arise in the work area.

Qualifications and requirements

  • University degree in Administration or related fields.
  • 2 to 3 years of progressive experience in planning and distribution processes ensuring control and monitoring of logistics operations and distribution. Previous experience in UN agencies or NGOs is considered an advantage.
  • Knowledge of the applicable Venezuelan legal context.
  • Venezuelan nationality or permission to work in Venezuela is required (essential).
  • Oral and written fluency in Spanish is required. Proficiency in English will be an advantage.
  • Immediate availability required.
  • Ability to effectively prioritize multiple responsibilities.
  • Flexibility to manage different tasks effectively and willingness to put in extra hours when necessary.
  • Availability to travel internationally as needed.
  • Proficient in Office 365 (Word, Excel, PowerPoint, Project, Outlook).
