Supply Chain Assistant – Catatumbo (Zulia) At Danish Refugee Council


The Dánes Refugee Council is one of the world’s leading humanitarian NGOs, working in more than 40 countries to provide adequate assistance and protection to refugees, asylum seekers, internally displaced persons, returnees, people on the move and vulnerable local people / communities host. DRC is currently seeking a highly qualified Supply Chain Assistant based in Catatumbo – Santa Barbara del Zulia, Venezuela.

About work:

DRC is managing its operations in Venezuela, under the direction of the country office in Caracas and three field offices located in the states of Sucre, Apure and Zulia. DRC Venezuela is implementing activities such as protection monitoring, legal assistance, individual protection assistance for PWSN, information sessions for PoC, prevention of human trafficking, rehabilitation of health infrastructure and food security.

Objective of the position: Support activities related to logistics coordination by ensuring compliance with DRC procedures and guidelines at the Caracas office and provide support when required to other offices in the country.

Responsibilities:

Shopping:

  • Ensure that all purchase requests are tracked from the planning and application point to the final receipt.
  • Correct documentary management of the processes involved with the logistics area
  • Prepare relevant documents for the acquisition of goods and services.
  • Participate in the evaluation of offers and proposals and ensure that the bid evaluation report, the technical evaluation, the minutes of the negotiations and the contracts negotiated in the selection of consultants contain all the facts and information necessary to justify the recommendations made in the report.
  • Participate in the joint verification of the goods and equipment purchased and verify the conformity of the articles with the technical specifications and the quantities.
  • Check that all old and new assets are correctly registered and labeled.
  • Perform the physical assets check.
  • Track inventory
  • Supervise deliveries and dispatches from DRC warehouses and carry out the necessary documentation.
  • Support in minor purchases.
  • Follow-up to returns or claims with suppliers.
  • Monitoring of periodic supplier payments and review of supplier billing as negotiated.
  • Maintain good communications with warehouse staff at other DRC locations and partner organizations.

Logistics:

  • Make the requests and processes that are required for the South Lake office, in accordance with the organization’s annual purchase plan.
  • Support the request and monitoring of the transfers and lodges required for the development of the planned activities.

Billing and Travel:

  • Manage the purchase and reservation of staff hotels according to the existing procedure
  • Execute the purchase and management of tickets for staff travel
  • Serve as a Focal Point for the consolidation of the travel and lodging process in order to ensure that the greatest efficiencies for the organization are achieved.

Education
• Professional with 2 years of experience (Administration, Logistics and related is desirable but not limiting)

Languages
• Native Spanish
• Basic English
