Trainee Assistant to the Emergency Cell At Doctors Without Borders in Switzerland


Duration depending on the tripartite internship agreement : 6 to 12 months at 100%

This internship is part of an academic training program, a vocational training program or a socio-professional integration program and must meet the needs of conditions established by the labour market surveillance council (CSME).

Context

Doctors Without Borders is an independent international medical and humanitarian organization that provides care to people in need, to persons affected by natural or man-made disasters and victims of armed conflict, without discrimination and without regard to race, religion, religion, religion, religion, or, beliefs or political affiliation (MFD Charter).

The operations department consists of desks (cells), an operations manager, two assistant directors,’assistants, as well as project managers and medical advisors. There are six cells in total, including 5 regular cells and one emergency desk. The coordination of each team is ensured by a programme manager (RP) supported by a programme manager assistant(e) (ARP). Each cell has’a trainee position.

Internship objectives

The responsibilities of the cell trainee are divided as follows: 40% of the time dedicated to operational support, 40% of the time dedicated to HR and administrative support and 20% dedicated to medical-operational files.

The Emergency Cell coordinates acute and often complex emergency response. This means that the cell portfolio is dynamic, changing as needed. At the time of printing, the emergency cell is running emergency operations in eastern Chad and responding to a cholera outbreak in the Comoros.

Tasks & responsibilities

Under the supervision of the cell manager (RP), the cell intern supports the operational cell as follows :

Operations

  • Support to the Program Manager (RP) and his assistant (ARP) for context analysis
  • Drafting and corrections of reports/proposals of’interventions, in connection with the RP/ARP
  • Research on mission-specific themes (reports, evaluations, etc.)
  • Summaries, compilations and layouts for internal and external presentations
  • Specific support and follow-up according to the needs of the cell and the field, for example :
    • Ordering maps and monitoring of work in progress with the GIS’unit of MSF
    • Follow-up of institutional donors : support for the drafting of grant applications and final/annual reports
    • Centralization of project management documents.
    • Monitoring of legal registrations and renewals

Human resources

  • Support to the Operational Human Resources Manager (RHOp) according to the needs of the cell and missions :
    • Maintains the update and availability of key operational, HR and mission documents for international staff (Welcome File and One drive)
    • Supports the organization of briefings (strategic documents, context, HR) and debriefings of expatriates and ensures their reception and orientation
    • Participation in international staff briefings
    • Follow-up of weekly HR points and preparation/participation in the weekly meeting with pool managers

Organizational tasks related to the functioning of Desk Support

  • Focal point for Knowledge Management within the Cell, in charge of Kompas software and its power supply (archiving and updating documents)
  • Management and archiving of documents (HR, Ope, Log, End) on the central server
  • Translation of documents according to needs and requests
  • Minutes of the various weekly or one-off meetings (MiniDesk, CoPro, etc.)
  • Organization of’events for the cell (interdesk, TC, green cell, formations..).
  • Support to other cells, as needed
  • Participates in monitoring field visits of the various actors and centralizes information

Logistics & supply

  • Preparation and monitoring of equipment for missions (management « locker departure »)

Medical-operational files

  • Each cell assistant, during the period of employment (from 6 to 12 months), must work on a medical-operational file. The selected folder must combine (a) the operational requirements of cell / assignments (b) academic requirements such as the need to complete a thesis and (c) if possible a link with the future career of the cell trainee.
  • The subject must be chosen during the first month of employment and agreed with the RP, ensuring that there is a defined rendering (written report, thesis, ..).
  • The final result MUST be presented to the Operations Department at the end of the employment period.

Profile sought

  • To benefit from’a tripartite internship agreement.
  • Intra-academic or extra-academic courses, or according to federal measure of professional integration : preferably Public Health, International Relations, Human Resources Management or management, law courses or equivalent
  • Demonstrated interest in’humanitarian aid
  • Mastery of french and’anglais (oral and written), another language an asset; excellent writing skills in french and english
  • Team spirit’, ability to collaborate with multicultural teams
  • Management of priorities, proactivity, rigor, organization
  • Good knowledge of the’environment Windows (Word, Excel, PowerPoint)

Working conditions

  • Compulsory tripartite internship agreement
  • Internship 6 to 12 months at 100% (depending on the internship agreement)
  • Based in Geneva
  • Date of’Effective : September 2024
  • Gross monthly remuneration: CHF 2’000.-
