Administrative Assistant of the Fundraising Systems Unit At Doctors Without Borders in Switzerland


Context & Mission

Doctors Without Borders is an independent international medical and humanitarian organization that provides care to people in need, to persons affected by natural or man-made disasters and victims of armed conflict, without discrimination and without regard to race, religion, religion, religion, religion, or, beliefs or political affiliation (MFD Charter).

L’administrative assistant-e works within the Fundraising Systems unit and collaborates with the Donor Care units, the Regular Donor Acquisition, and, and Direct Marketing to ensure effective management of donations and the quality of donor data.

The Fundraising Systems Unit is responsible for the proper functioning of the Donor database, which, as well as all other digital platforms intended for fundraising and has the mission to support all other Fundraising units, and the Department of Finance. Finally, the’unit Funding Systems also collaborates with the IT department (DSI) for the technical management of the database.

L’assistant-e administrative-ve reports directly to the Responsible of the’unit Fundraising Systems. The Fundraising Systems unit is based in Geneva.

The administrative assistant takes charge of administrative tasks of donation and data management within the Fundraising Systems Unit, aimed at maintaining the quality of the data and ensuring rigorous and efficient management within the time allowed.

Main responsibilities

Administrative Data Monitoring

  • Archives management: methodical classification of paper LSV / DD forms in gradually numbered workbooks.
  • Preparation of paper envelopes for requests for authorization from banks concerning LSVs.
  • Download in the CRM of the LSV / DD form authorization scans received by the banks.
  • Quality control in the database, in particular with regard to payment plans for regular donations.
  • Resolving duplicates in the CRM interface.
  • Generation of thank you lists.
  • Resolving tasks generated by the external data entry provider.
  • Verification of non-automatic data from CRIF.

Others

  • He/she takes care of all other projects and tasks related to the administrative management of the’unity Manager of Fundraising Systems.

Profile sought

Education

  • Maturity level, CFC of commerce or administration

Experience

  • Successful experiences in an administrative function with equivalent responsibility, an asset

Technical Skills

  • Customer service experience (CRM), an asset
  • Good knowledge of Microsoft computer tools

Languages

  • Required: french or english
  • Italian and German, a plus

Working conditions

  • Half-time position (50%, 20h/week)
  • Fixed term contract of 10 months
  • Place of work: Geneva
  • Ideal start date : As soon as possible
  • Gross monthly salary (at 50%) : from CHF 2’751.-to CHF 3’473,50.- (salary based on equivalent experience and internal salary grid) and a monthly contribution of CHF 125.- is paid for LaMAL.
  • Paid holidays: 25 days a year, pro rata temporis, plus Swiss holidays falling during the term of the contract.
  • Pension fund : contribution to the pension fund (2nd pillar-LPP) covered at a rate of 3/4 by MSF and 1/4 by the’employee.
  • Relocation assistance in case of moving from another country to Switzerland.
