Background Information: Partnerships and Liaison Group (PLG):

PLG drives the development and expansion of new and existing partnerships, in collaboration with UNOPS headquarter groups, regions and country offices. PLG consists of a network of liaison offices spread globally, and a cross cutting partnerships development team based at HQ in Copenhagen.

PLG’s Liaison Offices support the management of relations and development of partnerships with UNOPS key global partners. With offices in Amman, Brussels, Geneva, London, Tokyo, Washington DC, and Nairobi, Liaison Offices provide support to partners such as the World Bank, the European Union, France, Germany, Japan, the UK, the United Nations Environment Programme, the Global Fund, USAID, national governments and others.

The Partnerships Development team based in Copenhagen provides a range of cross cutting partnerships development support to the organisation including partner intelligence, partner resources, global events management and visibility.

Functional Responsibilities

The Partnerships Analyst (Events Coordinator) function sits within the Partnerships Development team at UNOPS HQ in Copenhagen. Under the overall guidance and direct supervision of the Partnerships Specialist – Team Lead Events & Visibility, the Partnerships Analyst (Events Coordinator) will support the development and drive the implementation of the UNOPS events plan. Responsible for the smooth functioning of the UNOPS Events Secretariat, the incumbent will act as the key focal point for UNOPS events across the organisation.

The key functions of this role include:

  •  Event research, strategic positioning and outreach
  •  Event focal point

  •  Event communications
  •  Knowledge Management & Partnerships Development Support

1. Event research, strategic positioning and outreach:

  •  Identify strategic/tactical external events where UNOPS can achieve high visibility among key stakeholders, strengthen existing as well as foster new partnerships, and promote its brand, services and strategic solutions;
  •  Support the Partnerships Specialist in the outreach to networks and event organisers to strategically position UNOPS and secure event participation, including speaking engagements for the Executive Director and other senior UNOPS speakers;
  •  Maintain the global UNOPS and PLG calendar of upcoming events in close coordination with the Communications Group, Liaison Offices and Executive Office;

2. Event focal point:

  •  Provide organization-wide support and knowledge-sharing through the UNOPS Events Secretariat;
  •  Coordinate with organisational units/their event focal points on UNOPS event participation;
  •  Coordinate accreditation for UNOPS personnel attending international conferences;
  •  Act as intermediary between UNOPS delegates and conference organisers for queries and registration;
  •  Support the Liaison offices in their event preparations as needed;
  •  Develop and disseminate internal guidance to improve UNOPS event planning processes and sharing of best-practices.

3. Event organisation and on-site event management:

  •  Coordinate UNOPS participation in high-level conferences and events, both physically and virtually, including supporting the preparation of programmes, side events, exhibitions, accreditation travel and logistics;
  •  Prepare briefing materials for UNOPS participants, and external participants where required;
  •  Effectively manage a broad range of activities related to UNOPS presence at events;
  •  Act as the point of contact for the UNOPS delegation at selected events;
  •  Coordinate bilateral meetings for the Executive Director and other senior UNOPS delegates at selected events;
  •  Support Liaison Offices and the Executive Office in coordinating events and VIP visits at UNOPS HQ as needed;
  •  Support the organisation and delivery of the annual UNOPS Client Board meetings;
  •  Effectively manage event budgets;
  •  Set KPIs, write post-event reviews, and take post-event follow-up actions, including monitoring and evaluation of predefined success criteria.

4. Event communication:

  •  Draft and disseminate a range of communications relating to UNOPS participation at key events across internal and external communications channels;
  •  Support the development of event-related content including social media posts, event videos, and other materials as required;
  •  Evaluate the impact of communications efforts by measuring success against KPIs and benchmarks as appropriate;
  •  In close coordination with the Communications Group (CG), support the development and implementation of event-related external communications, together with internal stakeholders and partners where relevant.

5. Knowledge management & partnerships development support:

  •  Support the Partnerships Development team with Knowledge Management and the dissemination of resources as needed;
  •  Provide internal communications support to the Partnerships Development team as needed (e.g. maintaining PLG’s intranet pages, disseminating resources, organising and promoting knowledge management sharing sessions, etc.);
  •  Perform other ad hoc activities related to supporting the Partnerships Development team and Partnerships Director, as required.

Impact of Results:The Partnerships Analyst (Events Coordinator) plays a pivotal role in a fast-paced, growing organisation. The incumbent will take on a key function that ensures the successful planning and delivery of UNOPS participation at international events, with a strong focus on maximising visibility and engagement opportunities for UNOPS. The successful positioning of UNOPS at key events will strengthen UNOPS standing among its partners, enhance internal coordination ahead of UNOPS delegates’ participation at events, and ensure a smooth delivery of UNOPS events overall.

The role further impacts the performance of the Partnerships and Liaison Group (PLG) and supports the fulfilment of UNOPS mandate at large by helping to raise awareness of UNOPS mission and services at key events – in support of a more sustainable world.

Education/Experience/Language requirements

Education:

  •  Advanced university degree (Master’s or equivalent) in a relevant field such as Event Management, Marketing, Communications, International Relations, Public Relations, Business Administration, or related fields is required.
  •  A combination of a Bachelor’s degree with an additional 2 years of relevant work experience may be accepted in lieu of the education requirements outlined above.

Experience:

  •  At least 2 years of demonstrated experience (with a Master’s degree or equivalent) in communications, public relations and/or event management is required.
  •  Experience in marketing and/or communications including campaign planning, delivery and evaluation is strongly desired.
  •  Prior experience working in international organisations/ international development is an advantage.

Language:

  •  Full working knowledge of the English language is required.
  •  Fluency in other UN languages, in particular French and Spanish, is an asset.

Other Requirements:

  •  Good working knowledge of Google workspace and/or Microsoft Office equivalents (Word/Docs, Excel/Sheets, PowerPoint/Slides) is required.
