SUMMARY:

The Project Assistant position provides support to the Political Transitions project team to help accomplish the mission of the Institute. The Project Assistant provides day-to-day programmatic and administrative support to the Guinea Team Lead. The assistant maintains program records, develops, and updates informational material, provides contract management support, organizes meetings and events, helps conduct research if needed, and undertakes other tasks as assigned. This is a part-time contract term position, based in Conakry, Guinea. The contract can be renewed pending good performance, funding, and business needs.

This is a Personal Services Contractor position for a host-country national in Guinea.

Job Brief:

Administrative and Program Support
* Support the design, implementation, and reporting of the Political Transitions Project in Guinea under the supervision of the Guinea Team Lead.
* Assist with daily administrative tasks such as managing correspondence, scheduling appointments, meetings, and travel arrangements for project participants.
* Attend internal and external meetings with partners and relevant stakeholders. This includes taking notes and distributing them to the team, as needed.
* Develop and maintain relationships with vendors and partners.
* Be available to travel within Guinea, or in the region as needed.

Finance Support
* Assist in processing invoices, expense reports, and reimbursements.
* Maintain accurate financial records.
* Collaborate with the DC-based program team to ensure compliance with financial policies and procedures.
* Track project spending against allocated budget.
* Meetings, Events and Logistics Planning
* Support the establishment and operationalization of a standing consultative mechanism (SCM) in Guinea, in coordination with the DC-based program team and under the supervision of the Guinea Team Lead.
* Coordinate logistical arrangements for all SCM convenings, including lodging and per diem for participants, catering, rental/procurement of meeting space and equipment, and any other items that arise.
* Take detailed notes of all SCM convenings to capture the main points, recommendations,, insights, and next steps during each convening.
* Support logistical arrangements for events, workshops and trainings under the supervision of the Guinea Team Lead.
* Contribute to a 5-10page narrative report following each convening that summarizes the proceedings.

Perform other duties as assigned

QUALIFICATIONS
* Bachelor’s degree in political science, international relations, security and peace studies, diplomacy, public administration, conflict resolution, or a related field.
* At least one (1) year of relevant professional work experience.
* Experience providing administrative and operational support to teams and organizations.
* Strong time management skills with the ability to prioritize work and meet deadlines.
* Demonstrated research and analytic skills in French and English preferred.
* Proficiency in French and English, both written and oral preferred.
* Must have strong collaboration skills; must have the ability to coordinate the input and priorities of multiple players.
* Must have excellent interpersonal skills.
