Background Description In Liberia, the UN Resident Coordinator office comprises of the Political, Peace and Development Unit, the Core Resident Coordination Unit, LMPT and the Spotlight Initiative Programmes. The Core Coordination Unit handles the daily Coordination for Results, Programmatic work, Operations, Strategic Planning, Monitoring and Evaluation, and Strategic Communications and Advocacy. The Core Coordination Unit supports UN Country Team through planning, policy, analysis and reporting. It also supports various working groups including: Inter-Agencies Programme Team (IAPT), Operations Management Team (OMT), Monitoring and Evaluation (M&E) Working Group, UN Communications Group (UNCG), Gender Thematic Group (GTG), Human Rights (HR) Working Group, Inter-Agency Youth Taskforce (IAYT), UN Disaster Management Working Group and UN Data Working Group. Under the overall supervision of the UN RCO Team Leader, the qualified individual contractor will: • The Administrative Clerk will provide routine clerical and operational support to the UNCT in Liberia; • Maintaining a clear responsibility for events planning, coordination of guests, and UNCT assembly within and outside the greater Monrovia areas; • Provide operational support and liaise with the communication and programme teams to implement field activities for the UNCT; • The role will play a critical part in the delivery of operational and work programme support for UNCT activities; • With much focus on daily operations, support on logistics and planning at the operational level; • Maintains an overview of expatriate staff’s visa and residence permit situation, and makes necessary applications; • Follows-up all protocol issues (visa request, travel permits, stay permits, car registration, etc.) in liaison with the Executive Associate and Administrative Assistant; • Backs-up the administration support in case of absence with respect to basic financial and human resources tasks; • Monitors all visitors to the office, issues identification cards to them, and directs them to the relevant staff/meeting room as appropriate; • Manages and operates the central switchboard, answering telephone, responds to routing requests for information; • Transmits messages and checks the fax machine and information box frequently; • Receives, registers and dispatches all office communication by e-mail, fax, post, diplomatic pouch, express airmail and telephone; • Assists in preparation for meetings. Manages the meeting/conference room bookings for the UNCT; • Updates UNCT staff contact list on regular basis and circulates amongst all staff; • Keeps list of names, addresses and telephone numbers of government officials, members of diplomatic missions, operational partners and suppliers
Qualifications/special skillsA high school diploma is required A minimum of two years of experience in planning meeting and coordination of high level UNCT events is required Experience in managing office and operational assistant tasks is required Experience in protocol issues (visa request, travel permits, stay permits, car registration, etc.) is required
